Job description

Stout Bookkeeping is a boutique bookkeeping firm based in North County San Diego, specializing in providing small businesses with tailored, high-touch bookkeeping support. We help business owners save time, gain clarity around their numbers, and make more confident financial decisions.

Our work goes beyond basic bookkeeping. We support clients through cleanups, ongoing monthly services, and more complex workflows using QuickBooks Online, with a strong focus on accuracy, compliance, and real-world problem-solving. Our clients span a variety of industries, including e-commerce, construction, medical practices, and other service-based businesses. While we’re rooted in North County San Diego, we serve clients locally and nationwide using secure, cloud-based systems. We value strong processes, clear communication, and doing good work the right way, and we’re building a team that reflects those values.

Job Responsibilities

  • Full-cycle bookkeeping for advanced, multi-account clients using QuickBooks Online
  • Manage advanced workflows, including Accounts Receivable, Accounts Payable, and clearing accounts, depending on client needs
  • Monthly bank and credit card reconciliations
  • Prepare and post journal entries as needed
  • Produce accurate monthly financial reports
  • Maintain clean, compliant, and well-documented books using Financial Cents
  • Troubleshoot bookkeeping and accounting issues across a variety of clients, using sound judgment to determine the best path forward
  • Support client cleanups and historical corrections when needed, including untangling messy books and bringing accounts back into alignment
  • Take ownership of assigned clients and workflows, proactively moving work forward
  • Collaborate with the internal team to keep workflows smooth and on track
  • Document processes and contribute to improving SOPs as needed
  • Maintain accurate and compliant records for clients in regulated industries, including medical practices
  • Occasional in-person training, team meetings, or local client site visits in North County San Diego, especially during onboarding

Schedule Expectations

This role will start at approximately 10 hours per week and is intended to begin as soon as possible, with the opportunity for additional hours as the firm continues to grow.

This is a part-time role with flexible hours, but it does require consistent availability Monday through Friday to keep client work and internal projects moving smoothly. It requires some in person training for the first 3 months.

You do not need to work set shifts or full days, but you should be available most weekdays to:

  • Make steady progress on client books and ongoing projects
  • Respond to client and internal messages in a reasonable timeframe
  • Handle ad hoc requests, questions, fixes, or follow-ups as they come up
  • Support time-sensitive tasks and projects that require continuity rather than batching

This role is not a fit for someone who prefers batching all work into one or two days per week or stepping away for long stretches between work sessions. A regular weekday presence is important for collaboration, responsiveness, and maintaining high service standards.

As we continue to grow, this role has the potential to expand into significantly increased hours and a larger scope of responsibility, including some on-site availability in North County San Diego.

What we are looking for

  • 2+ years of professional bookkeeping or accounting experience with strong hands-on proficiency in QuickBooks Online (accounting/QuickBooks proficiency test required)
  • Previous bookkeeping cleanup experience required (non negotiable)
  • Experience supporting multiple clients and/or managing more complex books strongly preferred
  • Experience with multi-entity accounting, reconciliations, and cleanup/catch-up projects preferred
  • Strong experience managing accounts payable and accounts receivable workflows
  • Strong problem-solving skills with the ability to think critically through accounting issues
  • Self-starter who takes initiative and works confidently and independently
  • Extremely detail-oriented, organized, and reliable while contributing to a collaborative team environment
  • Clear and professional written and verbal communication skills
  • Ability to work from a quiet, dedicated workspace during working hours with consistent focus and minimal interruptions
  • This role is not compatible with concurrent work for another accounting or tax firm or ownership of a separate bookkeeping/accounting practice
  • Bachelor’s degree in accounting or related field preferred, or equivalent real-world experience
  • Must have your own computer, phone, and reliable internet
  • Located in San Diego County and available for occasional in-person onboarding and meetings

Bonus Points If You Have

  • QuickBooks Online ProAdvisor certification
  • Experience with Financial Cents, Gusto, and Google Drive
  • Familiarity with Profit First or cash flow management systems
  • Sales and Use Tax filing experience
  • 1099 tracking and preparation experience
  • Experience supporting e-commerce businesses, construction companies, or medical practices with advanced workflows such as AR, AP, and higher transaction volume
  • California compliance experience, including payroll tax and business licenses
