What is bookkeeping?

Bookkeeping is the process of recording, organizing, and maintaining the financial transactions of a business or organization. Bookkeepers track all income and expenses, ensure that financial records are accurate, and help prepare financial statements. This information is essential for business owners and accountants to make informed decisions, manage cash flow, and meet tax and regulatory requirements. Bookkeeping can be done manually or with accounting software, depending on the size and needs of the business.

What are the key skills and qualifications needed to thrive as a bookkeeper, and why are they important?

To thrive as a Bookkeeper, you need a solid understanding of accounting principles, attention to detail, and a background in finance or business, often supported by a certificate or associate degree in bookkeeping or accounting. Familiarity with accounting software such as QuickBooks, Xero, or Sage, and proficiency in spreadsheets are commonly required. Strong organizational skills, integrity, and effective communication set top bookkeepers apart. These skills ensure accurate financial recordkeeping, regulatory compliance, and smooth financial operations for businesses.

What are some common challenges bookkeepers face when managing financial records for multiple clients or departments?

Bookkeepers often juggle multiple sets of financial records, which can be challenging due to varying client or departmental needs, different accounting systems, and tight reporting deadlines. Staying organized and detail-oriented is crucial to avoid errors and ensure accurate financial data. Additionally, bookkeepers must regularly communicate with clients or team members to clarify transactions and resolve discrepancies, making strong interpersonal and time-management skills essential for success in this role.

Job description

As an experienced office administrator and bookkeeper, you know better than anyone what it means to be the backbone of an office.   You pride yourself in your ability to keep a business organized and operations running smoothly. You love being the go-to person for your team, helping solve problems, and creating an efficient work environment.   If you are on the hunt for an exciting new challenge, with a flexible, family-owned business, then look no further! We have what you’ve been looking for.   Who are we?   We’re Soldan Fence (http://soldanfence.ca/) , Alberta’s oldest fence company. We blend the best of materials, workmanship, and over 100 years of expertise (we’ve been in business since 1910!) to provide customers with custom fencing solutions.    Now, we’re looking a new Office Administrator / Bookkeeper to join our team!   Office Administrator / Bookkeeper   As our new Office Administrator/Bookkeeper your primary responsibility will be ensuring the smooth operation of our administrative and accounting functions.   As the sole person responsible for this work in our office, you will enjoy tons of variety and autonomy in your role. You’ll get your hands on a bit of everything, gaining a big picture view of our office, operations, and team as you do.   While your focus will be on bookkeeping and administration, we want you to grow your role beyond that! If you show interest, initiative, and aptitude, you can make an even bigger impact on our team by supporting our operations team.  As a natural go-getter you will love the opportunity to make a mark!   Bookkeeping:   You will perform a wide range of general bookkeeping duties including accounts payable and receivable, posting payments, preparing invoices and purchase orders, weekly cheque runs, and collections calls.  You are also responsible for all monthly reporting to the owner and external accountant.     Administrative:   You’ll serve as the welcoming face and voice of our office to clients and visitors. Equipped with a warm and confident personality, you will establish rapport easily as you answer general questions about our services and products, and direct visitors to the right people.   You’ll also maintain and organize employee timesheets and schedules for sales calls, as well as file systems, office supplies, equipment. You’ll take care of the details so that we have what we need to run smoothly.   Operations:   You’ll find yourself providing support to our inside sales team, helping prepare project estimates and schedules, managing our health & safety program, and serving as the liaison between the field/shop and our office. As you learn the ins-and-outs of our business, you’ll quickly become an irreplaceable part of day-to-day operations!   Why you’ll love this role:   You’ll have an opportunity to put your mark on many different parts of our business, and in this role will get see how all the different pieces fit together.   As you learn how we do things, you’ll find many opportunities to bring forward your own ideas to help us grow and improve. You’ll get to make a difference by helping our team, our projects, and our books stay organized and on track.   If this dynamic role sounds exciting to you, then we can’t wait to meet you.   The Right Fit   Your office administration and bookkeeping experience in the construction, fabrication, home renovation, or agricultural industry will be the key to your success here. If you have any experience with project coordination, estimating, or health and safety, that would be a major plus.   Above all, what matters to us is who you are:     * You’re a proactive problem solver – you’re not afraid to dig in deeply into challenging problems to find creative solutions. * You’re highly organized – organization is your middle name. You successfully manage your own competing demands, and at the same time, have no problem keeping others on track. * You’re confident, and take initiative – when you have a question, you ask. When you see an opportunity to lend a hand, you take it.   Working @ Soldan Fence    We’re a family-owned business with a family feel. Some of our employees have been with us for over 30 years. We offer stability and opportunities for you to build a long-term career with us. We’re proud of the work that we do - we take on unique and custom jobs that no one else can. Our work is interesting and different every day.   The Details   This is a permanent position offering a flexible schedule, working Monday-Friday. You’ll work between 24-40 hours per week during our office hours, 8:00-4:30.   You’ll have room here to grow your role – if you are ready to advance your role beyond office administration and bookkeeping, there is opportunity for this to become a full-time position.   You’ll be paid $22-$26 per hour, depending on experience, and receive full health and dental benefits as well as 3 weeks’ vacation.   Qualifications   Here are our must-haves:   * Experience as an office administrator/manager at a small-to-medium sized business * Experience as a full-cycle bookkeeper * Experience in the construction, fabrication/manufacturing, home renovation, or agricultural industry * Experience using QuickBooks accounting software * Advanced level of experience with Microsoft Office programs * Post-secondary education in relevant field (business administration, accounting, finance, or similar)   And here’s what would be a plus:   * Experience using QuickBooks job costing modules * Experience with managing health and safety programs * Experience with construction project coordination and/or estimation    How to Apply   Our online application will give you the option to apply to this role as a complete person – not just a resume.
