About the Role

Maingate Management is seeking a detail-oriented Property Bookkeeper to support our accounting operations across a portfolio of 100+ managed properties. This role works directly with and reports to the Controller, acting as a trusted right hand on day-to-day bookkeeping, trust account compliance, and financial recordkeeping. The ideal candidate brings sharp attention to detail, sound judgment, and real-world experience they can draw on to catch errors before they become problems.

This is a remote, part-time position well suited to an experienced bookkeeper looking for flexible, meaningful work with a stable, growing team.

Key Responsibilities
  • Assist Accounting Manager with day-to-day bookkeeping tasks in AppFolio
  • Support trust account compliance, ensuring transactions are properly documented and coded by property
  • Review and code vendor bills and credit card transactions, matching charges to the correct property, GL account, and supporting documentation (work orders, invoices, receipts)
  • Assist with weekly and monthly transaction exports and reconciliation reviews
  • Flag missing or inaccurate transactions
  • Help maintain clean, audit-ready books across each property
  • Support month-end close processes, including account reconciliations and journal entries as directed
  • Communicate clearly and proactively with the Controller and broader accounting team on outstanding items, discrepancies, and deadlines
  • Assist with ad hoc financial reporting, vendor account questions, and special projects as needed
  • Monitor and manage property utility accounts, including but not limited to those dedicated to vacant units
Qualifications
  • 3+ years of bookkeeping or similar work experience, with demonstrated financial responsibility, sound judgment, and reliability
  • Property management bookkeeping experience strongly preferred
  • Experience with AppFolio (or comparable property management software) a strong plus
  • Experience with RAMP or similar corporate card/expense management platforms a plus
  • Working knowledge of basic accounting principals
  • Strong Excel/spreadsheet skills
  • Excellent written communication skills; comfortable documenting issues and communicating with a remote team
  • High level of integrity and discretion
  • Self-motivated and comfortable working independently in a remote, part-time capacity
  • Highly organized, with a demonstrated ability to manage recurring deadlines
  • Strong working knowledge of how utility account management should function for vacant units, with the judgment to independently catch discrepancies (e.g., accounts left active, incorrect billing, mismatched vendor and AppFolio status)
