Job description

Job Overview: Financial Operations Specialist
We're looking for someone who takes pride in getting the details right and can keep billing processes running smoothly. As our Billing Specialist, you'll handle invoicing, track billing activity, troubleshoot issues, and help ensure everything is accurate and on schedule. You'll work with different teams across the company, so strong communication skills and a problem-solving mindset are important. If you're organized, dependable, and enjoy working behind the scenes to keep things on track, we'd love to hear from you.

Duties

  • Prepare, review, and process invoices using multiple accounting software platforms such as Stripe, ZipBooks, Airtable, Google Calendar, and Gmail to ensure accuracy and compliance with company policies.
  • Manage accounts receivable by tracking payments, following up on overdue accounts, and reconciling customer accounts to optimize cash flow.
  • Perform account reconciliation tasks including balance sheet reconciliation and general ledger accounting to maintain precise financial records.
  • Conduct detailed account analysis to identify discrepancies or errors related to debits & credits, journal entries, or account balances; resolve issues promptly.

Requirements

  • Experience working with billing, bookkeeping, or accounting tasks is preferred.
  • Comfortable using tools like Stripe, Airtable, ZipBooks, Gmail, and Google Calendar, or similar systems. You don’t need to be an expert, but you should be able to learn quickly.
  • Strong attention to detail and accuracy when entering and managing data.
  • Experience working with invoices, payments, account balances, and basic bookkeeping (like tracking money in and out).
  • Comfortable working with numbers and spotting when something doesn’t look right.
  • Able to handle account checks and simple reconciliations with care and consistency.
  • Good communication skills and ability to work with other teams to solve billing or payment issues.
