EXECUTIVE ASSISTANT

Boardwalk Investments Group, LLC ("Boardwalk") is a privately held commercial real estate investment company. Headquartered in Costa Mesa, California. The Firm currently manages a commercial real estate portfolio comprised of retail, mixed-use, office and multifamily assets located primarily in Orange County, California and is led by a seasoned management team with over 50 years of commercial real estate experience. Since 2012, Boardwalk's investment strategy is to actively acquire, stabilize, and manage commercial real estate located in core, coastal markets in California.


We are seeking a highly organized, detail-oriented Executive Assistant to provide administrative, operational, and project support to the marketing team across Boardwalk’s portfolio.


This role is ideal for someone who is proactive, polished, highly organized, and comfortable supporting a fast-moving team across marketing initiatives, presentations, reporting, vendor coordination, content organization, events, and day-to-day administrative needs.


ESSENTIAL DUTIES & RESPONSIBILITIES

  • Support the marketing team with daily administrative tasks, project coordination, scheduling, follow-up, and internal communication.
  • Prepare polished presentation materials and slide decks for internal and external meetings using PowerPoint, Google Slides, or other tools.
  • Draft, edit, and proofread communications, reports, meeting agendas, post-meeting summaries, campaign recaps, and other marketing materials.
  • Coordinate and track key marketing initiatives, project timelines, deadlines, and action items to help ensure accountability and follow-through.
  • Organize digital content libraries, creative assets, photography, video, collateral, templates, shared folders, and marketing documentation for easy team access.
  • Assist with research, data gathering, screenshots, campaign details, and compiling insights into clear summaries or reports.
  • Support the production and coordination of marketing materials, including signage, printed collateral, event materials, promotional assets, and digital materials.
  • Coordinate with vendors, printers, agencies, property teams, and external partners to help keep projects moving.
  • Assist with invoice processing, expense tracking, purchase requests, and budget documentation.
  • Support the planning and logistics of team meetings, events, photo shoots, influencer visits, activations, and other marketing initiatives.
  • Serve as a point of contact for internal departments and external stakeholders as needed.
  • Maintain organized digital filing systems, team documentation, and marketing resources.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree required
  • Minimum 4 years of experience in an executive, administrative, operational, or marketing support role, preferably supporting a team
  • Exceptional written and verbal communication skills
  • Highly organized, with excellent time management and multitasking abilities
  • Strong attention to detail and ability to maintain confidentiality at all times
  • Comfortable working independently and anticipating needs without constant direction
  • Experience working in a fast-paced, deadline-driven environment
  • Proficiency with Microsoft Office, Google Workspace, PowerPoint, and common digital tools.
  • Experience with Canva, Adobe Creative Suite, project management tools, social media platforms, or email marketing platforms is a plus.
  • Marketing, communications, real estate, retail, hospitality, restaurant, lifestyle, or agency experience is a plus.
