The University of North Texas Foundation, Inc. serves as the University of North Texas' strategic Partner in managing and growing private assets through investment management, and administration of endowments and planned gifts to support the University's mission.

Position Overview

The Board Professional and Office Manager is a full-time professional support position for the Foundation's President and Chief Executive Officer (CEO), the UNT Foundation office, and the Foundation Board of Directors. This full-time, professional staff provides specialized administrative, organizational and communication support on a daily basis. This person works closely with other Foundation and University staff and with the Board of Directors of the Foundation and reports directly to the CEO.

Job Duties

  • Board Coordination
    • Organize Board and Committee meeting scheduling, materials, arrangements, reservations, board portal, board manual, and communications in conjunction with the CEO.
    • Attend Board and other select meetings (both in-person and virtual format), care for member needs, take notes and record votes, prepare drafts of board meeting minutes for review.
    • Coordinate new board director orientation and communications.
    • Responsible for the management of Board conferences, sponsorships and events.
    • Update Foundation policies and procedures, Board Committee charters, Board Bylaws, and other permanent Foundation documents as needed. 
  • Executive Support 
    • Provide comprehensive administrative support to Foundation executive as needed, including calendar management, correspondence, planning, communications and management of manual and electronic filing systems.
    • Executive special projects and research work as requested by the executive team. 
    • Prepare expense reports for executive team members. 
    • Support executive team by recording and storing Foundation's donor gift agreements - Memorandum of Understandings (MOU).
    • Serve as custodian of the Foundation brand, ensuring consistent use across all platforms in terms of look, image, identity and message. Includes templates for Microsoft office products.
  • Office Management
    • Maintain and update the Foundation website content.
    • Manage Foundation Human Resources responsibilities, including new hire and onboarding, terminating employees and offboarding, employee retirement/insurance selections, retirement funding entry, Foundation office insurance, personnel records, employee updates that impact payroll, approve planned PTO, review PTO taken, calculate/update PTO annual carryforward, annual performance review process, business continuance of operation plan, employee manual and employee total rewards.
    • Ensure office efficiency and coordinate office management operations, including new staff training, procurement of supplies, equipment, printing/duplicating, office decor, communications and service and repairs.
    • Serve as primary point of contact for visitors and telephone inquiries; open, sort, and distribute incoming mail and correspondence. 
    • Liaison with constituents inside UNT and beyond.
    • Responsible for the management of Foundation culture and team events. - (Essential)
