Description

We are seeking a hands-on Salesforce Administrator to manage and continuously improve our Salesforce ecosystem, supporting internal teams and external users. This role owns platform administration across Sales Cloud, Experience Cloud (Customer Portal), invoicing workflows (Blackthorn), and membership subscription management. The ideal candidate is comfortable operating as both a system owner and business partner-ensuring Salesforce is secure, scalable, and aligned with day-to-day operational needs.


Duties and responsibilities 

User, Security & Access Management:

  • Administer Salesforce users, roles, profiles, permission sets, and access controls 
  • Manage secure access for internal users and external portal users 
  • Enforce least-privilege access and security best practices 

Sales Cloud Administration:

  • Administer and support Leads, Opportunities, and related sales processes 
  • Maintain page layouts, record types, and validation rules to support sales workflows 
  • Partner with Sales and Operations to optimize pipeline visibility and reporting 

Experience Cloud (Customer Portal): 

  • Administer and support the Experience Cloud portal for customers and members 
  • Manage portal user access, permissions, and layouts 
  • Support portal enhancements, usability improvements, and issue resolution 

Membership & Subscription Management: 

  • Support membership subscription objects and workflows 
  • Assist the Membership team with renewals, upgrades, and issue resolution 
  • Ensure membership data accuracy across Salesforce and related systems 

Invoicing & Billing Support (Blackthorn): 

  • Administer and support Blackthorn invoicing workflows 
  • Assist with invoice generation, payment issue troubleshooting, and reconciliation support 
  • Collaborate with Finance and vendors to resolve billing-related Salesforce issues 
  • Customize Invoice / Receipt layouts using Conga 

Platform Configuration & Object Management: 

  • Create and manage custom and standard objects, fields, relationships, and page layouts 
  • Maintain object-level security and data integrity 
  • Support ongoing enhancements, platform optimization, and upgrades

Declarative Automation & Configuration: 

  • Build and maintain Flows and Screen Flows to automate business processes 
  • Configure and manage objects, fields, relationships, and page layouts 
  • Improve efficiency by replacing manual processes with scalable automation 

Reporting, Data & Support: 

  • Create and maintain reports and dashboards for business stakeholders 
  • Ensure data quality through validation, monitoring, and cleanup activities 
  • Provide day-to-day user support, troubleshooting, and training 
  • Maintain system documentation, SOPs, and configuration records 

Continuous Improvement, Innovation & Learning: 

  • Actively research, explore, and evaluate new Salesforce features, releases, and related technologies 
  • Stay current on Salesforce best practices through Trailhead, release notes, certifications, and community resources 
  • Proactively identify opportunities to modernize, simplify, or improve existing Salesforce implementations 
  • Recommend and pilot new tools, capabilities, or approaches that improve scalability, user experience, or operational efficiency 
  • Avoid "status quo" ownership by continuously challenging and improving existing processes

Requirements

  • Minimum Bachelor's degree and 3+ years of Salesforce Administrator experience  
  • Hands-on experience with Sales Cloud and Experience Cloud  
  • Strong proficiency with Flows, Screen Flows, and declarative automation  
  • Experience administering users, security, and access models  
  • Familiarity with subscription or membership-based business models 
  • Strong listening, writing, and speaking abilities, as well as attention to detail and organization
  • Strong problem-solving and troubleshooting skills  
  • Clear, professional communicator with technical and non-technical users  
  • Highly organized with strong attention to detail  
  • Customer-service mindset and ownership mentality 

Preferred Qualifications 

  • Salesforce Administrator Certification (ADM-201)  
  • Experience with Blackthorn Billing or similar invoicing tools  
  • Experience with Conga is a plus 
  • Experience supporting customer-facing portals or communities  
  • Background in nonprofit, association, or membership-driven organizations  
  • Comfort working with distributed teams and cross-functional stakeholders
