The Associate Director, Project Management is a key leadership role within the PMO responsible for driving project delivery excellence, operational effectiveness, and talent development across a team of Project Management professionals. This position provides strategic oversight of project portfolios, forecasting, resource planning, and client engagement activities while partnering closely with Operations, Business Development, and Finance to support business objectives and deliver exceptional client outcomes. The Associate Director will play a critical role in advancing PMO capabilities, developing future leaders, and supporting the continued growth and scalability of the organization.
Essential Responsibilities
  • Align project objectives and project management resources to ensure excellent customer experience and timeline accuracy
  • Represent project management in key client meetings as an advocate for client and business unit. Support global governance and preparation of presentation for client meetings.
  • Support preparation and presentation of project scopes with business development and proposals
  • Work with scheduling/planning group to maintain service pipeline and backlog data in support of S&OP process.
  • Ensure forecasts are represented accurately in S&OP process. Work closely with finance with the goal to improve forecast accuracy of client projects.
  • Ensure effective communication of study issues and project status to operations leadership and business development. Proactively identify and resolve barriers impacting project delivery
  • Drive Initiatives for project tracking such as dashboards and key performance indicators (KPIs) to provide visibility for risk management and governance
  • Manage the Project Services department through a team of functional managers and high performing individual contributors
  • Adhere to safety and compliance requirements

Leadership Responsibilities
  • Lead, coach, and manage project teams, providing feedback and professional development. Support high performers for opportunities to transition to leadership roles
  • Responsible for performance management of employees focusing on career growth
  • Provide regular updates, progress reports, and presentations for clear stakeholder communication
  • Frequently advises team on complex matters to support client outcomes

Minimum Preferred Qualifications
Education/Experience:
  • Bachelor's degree in life science or related field with not less than twelve (12) years' experience in a biotechnology project management or related field; or
  • Masters' degree in life science or related field with not less than ten (10) years' experience in a biotechnology project management or related field
  • Not less than five (5) years' experience in project management leadership, scheduling resources, and timeline management for meeting client deliverables
  • Experience leading, coaching and developing employees by setting clear expectations, regular connections, and providing ongoing constructive feedback
  • Knowledge in science with relevant regulations for Contract Resource Organization (CRO) preferred with experience working in biotech, pharmaceutical, CRO/CMO or similar
  • Highly Proficient in project management software (Smartsheet preferred)
  • Project Management Professional certification (preferred)

Skills:
  • Excellent oral and written communication skills, and ability to successfully interact with key internal stakeholders and clients
  • High level of proficiency in Microsoft Office (Word, Excel, Outlook)
  • Acute attention to detail
  • Ability to coordinate multiple projects/tasks while still delivering high quality results under time constraints
  • Strong organizational and project administration skills
  • Self-driven and proactive, able to prioritize tasks and meet or exceed project objectives

  • This position supervises various levels of Project Managers, Project Coordinators, and Data Coordinators as determined with business needs

Working Environment
  • Primarily office environment. Full-time in office attendance is required to support project coordination and team collaboration
