POSITION: Billing Manager

FLSA STATUS: Exempt

DEPARTMENT: Revenue Services

SUPERVISOR: Director of Revenue Services 

SUMMARY: Under general supervision and in accordance with Firm policies and procedures, the Billing Manager is responsible for leading, developing, and supporting the Billing Team while overseeing all aspects of the firm's billing operations. This role ensures the accurate and timely preparation, processing, and distribution of client invoices, serves as a key resource for resolving complex billing issues, and collaborates closely with attorneys and administrative departments to support efficient revenue cycle management. The Billing Manager monitors team workloads, promotes operational excellence, and fosters a high-performing, service-oriented billing function.

The Billing Manager serves as a working supervisor responsible for overseeing the firm's day-to-day billing operations and leading a team of billing professionals. This role manages the billing process from prebill preparation through invoice generation and posting, ensures billing accuracy and timeliness, resolves complex billing issues, and serves as a key liaison between attorneys, staff, and firm leadership. The Billing Manager monitors team workloads, supports operational efficiency, and collaborates across departments to promote effective revenue cycle management and outstanding internal client service. Reporting to the Director of Revenue Services, this position plays a critical role in supporting the firm's financial operations and billing objectives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential functions are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Motivate, mentor, and provide leadership to the Billing team, including but not limited to, establishing controls to ensure the quality and integrity of the billing processes.
  • Monitor workload distribution and overtime requirements, identifying areas where efficiencies of the billing and/or collections function can be improved. Work with the Director of Revenue Services to implement approved changes.
  • Maintain hands-on knowledge of all billing related functions in order to provide proper training, back-up, and support, including, but not limited to bill preparation, bill review, pre-bill review, write off management and exception rate management.
  • Manage and oversee all Billing Department functions and organization, assuring work is completed accurately and effectively within defined deadlines.
  • Monitor actual billings against budgets/targets and liaise with other Revenue Managers when necessary.
  • Conduct group and individual training for all billing software users.
  • Maintain and update billing training manual and related presentations, as required.
  • Leading the Billing team with a results-focused approach.
  • Review of billing progress including compiling reports and analysis of billing statistics.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Strong working knowledge of the billing functions and legal billing cycles.
  • Excellent written and verbal communication skills.
  • Highly proficient in Excel.
  • Experience with operations/ financial systems (Aderant and Prebill Viewer).
  • Previous law firm billing management experience.
  • Detail orientated, efficient, organized with the ability to multitask.
  • Strong analytical and problem-solving skills.
  • Possess strong organizational, interpersonal and communication (oral and written) skills.
  • Possess an aptitude for detail.
  • Ability to work efficiently and ability to work under pressure with or without direct supervision.
  • Must be able to handle multiple projects and be familiar with computerized databases and on-line services.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.

WORKING CONDITIONS

Normal office environment with little exposure to excessive noise, dust, extreme temperatures and the like.
