Job Description

The Scheduling & Office Services Coordinator is responsible for providing scheduling and office support in a very fast-paced environment. This position plays a significant role in the day-to-day operations of the office, and the scheduling logistics. It is the scheduler’s responsibility to ensure that the team’s time is used efficiently and effectively; that they are well prepared for all meetings; and that all commitments made are kept for follow up by the appropriate staff. This individual must coordinate and update schedules throughout the day. This person is constantly in public view, and they must be able to professionally represent the company.

Job Responsibilities:

ï‚• Maintain and organize the calendar and meetings for the NYC team.

 Map out travel, client and new business meetings far into the future to best leverage the NYC team’s time.

ï‚• Interact with stakeholders in relation to scheduling, planning and staffing of meetings, client lobby days, and gatherings, as appropriate.

ï‚• Ensure coordination between multiple principals and offices.

ï‚• Draft correspondence, answer phones, coordinate mailing and handle inquiries and requests from internal and external sources.

ï‚• Provide logistical support for client meetings and lobby days, as well as internal team meetings.

ï‚• Coordinate the accurate and timely assembly of travel itineraries.

ï‚• Manage, maintain, and organize confidential materials including a filing system of electronic materials in an online database.

ï‚• Prepare and assemble reports, documents and other publications, as appropriate.

ï‚• May manage and implement special projects, as assigned.

This is a Contract position based out of New York, NY.

Pay and Benefits

The pay range for this position is $23.00 - $26.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
