Job description

This role is ideal for someone who loves balancing operational excellence with employee engagement while helping build a positive, high- performing workplace.
As our HR Coordinator, you'll play a key role in supporting the entire employee lifecycle from welcoming new hires and maintaining HR operations to coordinating company events, recognition programs, and strategic HR initiatives.
Responsibilities include:
Employee Onboarding & Integration
Deliver an exceptional onboarding experience by welcoming new hires with personalized onboarding packages and orientation sessions.
Coordinate the complete onboarding process including background checks, I-9 verification, HRIS enrollment, benefits enrollment, equipment and workspace setup.
Partner with department leaders to coordinate new hire introductions and first-week experiences.
Maintain onboarding documentation, and track onboarding milestones.
Gather new hire feedback and continuously improve the onboarding experience
Employee Data Administration
Process employee time-off requests and maintain accurate attendance records.
Monitor vacation accruals, sick leave, and employee eligibility for benefits.
Maintain accurate employee records and HR documentation while ensuring confidentiality.
Manage employee information updates, benefits changes, I-9 reverifications, and compliance documentation.
Track mandatory training completion and certifications.
Maintain HR inventory, employee directories, and personnel documentation.
HR Administration
Ensure owned HR processes comply with federal, state, and local employment regulations.
Monitor compliance deadlines and maintain organized employee files.
Assist Head of HR with audits and HR reporting (upon necessity).
Help maintain company policies and HR procedures
Report to Head of HR with weekly HR process and metrics updates
Assist with process improvements and cross-functional HR projects.
Employee Engagement, Recognition & Culture
Coordinate peer-to-peer recognition, quarterly awards, and annual employee recognition programs.
Organize company Happy Hours, seasonal celebrations, wellness initiatives, fitness challenges, and team-building events.
Manage employee engagement tools including surveys, Donut journeys, trivia, and feedback programs.
Coordinate event logistics, RSVPs, communications, gifts, certificates, and recognition materials.
Support initiatives that strengthen company culture and employee engagement.
Internal Communications & Events
Maintain the company calendar with HR events, holidays, and important milestones.
Publish internal announcements through Slack and other communication channels.
Assist with coordinating logistics for leadership meetings, training, company events, and employee travel.
Assist with newsletters highlighting company accomplishments and employee milestones.
Requirements:
  • 1-3 years of experience in Human Resources, People Operations, HR Coordination, or HR Administration.
  • Associate degree in Human Resources, Business Administration, Communications, or a related field, or equivalent professional experience.
  • Experience using HRIS platforms (Paylocity or similar systems).
  • Experience using Ben Admin systems (EASE, Employee Navigator or similar).
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • High level of professionalism and discretion when handling confidential information.
  • Experience planning company events, recognition programs, or employee engagement initiatives.
  • Experience using collaboration and productivity tools such as Google Workspace, Slack, Wrike, Confluence, or similar platforms.
  • Knowledge of employment laws including I-9, FLSA, FMLA, and HR best practices.
  • Experience using AI productivity tools such as ChatGPT, Gemini or Claude.
