Talis Group’s client is a state-of-the-art industry leader in providing mobility solutions that improve quality of life and independence. They are seeking to hire an experienced Office Administrator to join their team in Baton Rouge, Louisiana location.  This role will report to the General Manager and be responsible for a wide range of administrative, accounting, customer service, rental, titling, service, and sales support functions.

The ideal candidate will have strong administrative & organizational skills, excellent customer service abilities, and experience handling AR payments, scheduling, and detailed documentation.  This hands-on position requires someone who can effectively manage multiple priorities while maintain accuracy & professionalism.

This is a full time, direct hire opportunity offers a pay range of $21-$24 per hour ($43,680-$49,920) - plus monthly bonus incentives, full benefits, paid time off, and paid holidays. The hours are Monday-Friday, 8am-5pm (in office, onsite.)

Highlighted Duties:
  • Manage incoming calls, greet visitors, and provide customer service.
  • Maintain AR spreadsheets, assist with AR functions, and collections.
  • Receive & accurately apply payments for service, rental, & sales transactions.
  • Perform end-of-day cash, check, and credit card reconciliation.
  • Maintain office files, prepare business correspondence, and process legal documents.
  • Oversee the Rental program, print rental contracts, schedule rentals & communicate with drivers, & assist with dealership management as needed.
  • Schedule service appointments, vehicle deliveries, pre-delivery inspections, and driver pick-ups.
  • Receive and process titles associated with vehicle sales, track titles, & maintain accurate title records.
  • Obtain completed customer info sheets & accurately enter info into Sage software.
  • Assist with service quotes, sales quotes, and processing deposits.
  • Order office supplies and manage mail distribution.
  • Prepare business correspondence, reports, meeting notes, & internal support materials.
  • Support the team with administrative projects and clerical tasks such as scanning & copying.

Highlighted Requirements:
  • High school diploma required; Associate’s degree in Business preferred.
  • Minimum 2 years of administrative, office coordination, or accounting support experience.
  • Experience with AR, payment processing, deposits, or cash/credit card reconciliation strongly preferred.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Experience with Sage or other accounting/ERP systems preferred.
  • Strong customer service skills, both in-person, over the phone, and email communication.
  • Excellent attention to detail & accuracy when handling payments, financial info, titles, contracts, and customer documentation.
  • Strong organizational and time-management skills.
  • Comfortable coordinating schedules & communicating with drivers, customers, and internal departments.
  • Ability to work independently while collaborating effectively with the General Manager, Sales, Service, and admin teams.
  • Professional, efficient, and timely approach to correspondence and follow-up.
  • Ability to maintain confidentiality of company & customer info.
  • Adaptable & comfortable working in a fast-paced environment with changing priorities.
