Job description

We are seeking a sharp, highly organized, and detail-oriented professional to manage our corporate office operations and handle bookkeeping functions for our multi-entity accounting workflow.

This is a dynamic, dual-functioning role. You will serve as the professional face and operational backbone of our corporate headquarters while managing precise bookkeeping across multiple entities. The ideal candidate thrives on a structured routine, possesses an eagle eye for general ledger accuracy, and seamlessly balances front-office hospitality with back-office financial precision.

What You?ll Do:

  • Manage Corporate Reception: Serve as the main switchboard operator, greeting visitors, directing calls, sorting/distributing mail, and keeping the office clean and organized.
  • Adhere to a Structured Schedule: Maintain firm, consistent hours from 8:00 AM ? 5:00 PM (with a designated one-hour lunch break) to ensure reliable corporate office coverage.
  • Manage Multi-Entity Bookkeeping: Execute daily data entry across QuickBooks, OneSite, and ResMan, ensuring clean, fully searchable financial records with verified invoice numbers and proper backup documentation.
  • Handle Intercompany Billing & Allocations: Manage centralized expense billing procedures, which includes analyzing monthly corporate bills to accurately allocate and charge back costs to individual entities.
  • Oversee Vendor Compliance: Maintain current vendor insurance documentation and W-9 information within accounting systems, and assist with year-end 1099 preparation.
  • Assist Leadership & Office Operations: Monitor and order office supplies, coordinate uniform and business card distribution, assist with employee events (such as the annual Christmas party), and run local errands or perform personal assistant tasks for the Owner as needed.
  • Support Corporate Personnel & Team Goals: Assist corporate staff with special projects and provide cross-departmental support to help other teams successfully accomplish their goals.
