Job description

As an Event Production Specialist at AVI-SPL, you occupy a vital hybrid role that bridges the gap between event production coordination and technical execution. You will support the end-to-end coordination of onsite, hybrid, and virtual events and post-production projects for high-profile domestic and international clients. This position requires a unique blend of superior organizational skills, white-glove customer communication, and a deep understanding of live event and video production technology. You are responsible for ensuring that the client's vision is technically feasible and flawlessly executed.
As a Production Specialist at AVI-SPL, you will support the planning, coordination, and execution of onsite, hybrid, and virtual events for corporate clients. Working closely with the Senior Production Manager and technical production teams, you will assist in delivering high-quality event experiences while developing your expertise in event production and operations.
This is an excellent opportunity for a production professional with 1-3 years of experience who possesses strong organizational skills, an interest in live event technology, and a passion for delivering exceptional client experiences. Success in this role requires attention to detail, excellent communication skills, and the ability to manage multiple projects simultaneously.
Core Responsibilities
  • Support the planning and execution of live, virtual, and hybrid events from initial request through event completion.
  • Coordinate project timelines, production schedules, logistics, and event deliverables.
  • Serve as a primary point of contact for clients, vendors, and internal teams, providing responsive, professional communication throughout the project lifecycle.
  • Assist with developing project scopes, production schedules, and resource plans.
  • Support production budgeting by tracking expenses, processing invoices, reconciling vendor costs, and maintaining accurate financial records.
  • Create and maintain project spreadsheets, production schedules, budget trackers, equipment lists, and event documentation using Microsoft Excel.
  • Coordinate with engineering, production, creative, and operations teams to ensure successful event execution.
  • Assist with post-production projects and support basic video editing tasks as needed.

Day-to-Day Responsibilities
  • Assist with pre-production planning meetings and client consultations.
  • Coordinate event logistics, including vendor scheduling, equipment needs, travel coordination, and production documentation.
  • Participate in site visits and technical assessments to verify production requirements.
  • Work with technical teams to help ensure audio, video, lighting, streaming, and presentation systems meet client expectations.
  • Track project milestones and communicate status updates to stakeholders.
  • Maintain organized project files and production documentation.
  • Support onsite event execution and troubleshoot operational issues as they arise.
  • Assist with vendor management, estimate collection, purchase orders, and payment processing.

Qualifications
Required
  • 1-3 years of experience in event production, event planning, audiovisual production, hospitality, corporate events, or a related field. Internship and freelance experience are encouraged to apply.
  • Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
  • Working knowledge of event planning principles and production workflows.
  • Basic technical understanding of live event production, audiovisual systems, streaming platforms, or broadcast technology.
  • Familiarity with production budgeting, expense tracking, invoice processing, or production finance.
  • Proficiency in Microsoft Excel, including creating spreadsheets, tracking budgets, organizing production schedules, and managing project data.
  • Strong written and verbal communication skills with a customer-service mindset.
  • Detail-oriented with excellent problem-solving abilities.
  • Comfortable learning new technologies and production tools in a fast-paced environment.

Preferred
  • Experience supporting live, virtual, or hybrid corporate events.
