About the Job:

The Executive Assistant, Operations supports Summit's Vice President of Operations by helping translate organizational priorities into clear action, consistent follow-through, and improved coordination. This role goes beyond traditional administrative support by helping manage executive workflows, prepare leadership materials, coordinate across teams, and ensure important commitments continue moving forward.
The ideal candidate is proactive, highly organized, discreet, and confident working with senior leaders. This role requires someone who can independently manage priorities, anticipate needs, improve processes, and help create visibility and accountability across the organization. The role also provides defined support to the Director of Sales for customer visits, sales events, and strategic account activities.

Responsibilities:

  • Supports the Vice President of Operations by coordinating priorities, managing executive workflows, preparing materials, and ensuring commitments move forward through consistent follow-through.
  • Manages executive calendar coordination, communication workflows, meeting preparation, travel arrangements, and related administrative processes.
  • Coordinates leadership meetings, planning activities, action items, and follow-up to improve alignment and accountability across teams.
  • Provides defined support to the Director of Sales for customer visits, sales events, strategic account activities, and related coordination.
  • Coordinates assigned operational initiatives by organizing timelines, communication, ownership, and next steps while identifying obstacles and areas requiring attention.
  • Improves recurring workflows and processes by identifying opportunities for better documentation, efficiency, delegation, and team coordination.

Job Requirements:

  • High School Diploma or equivalent required.
  • Associate's Degree or higher in Business Administration, Office Management, Operations, or related field preferred.
  • 5+ years of experience in administrative support, executive support, or operations coordination.
  • Experience supporting senior leadership preferred.
  • Experience in operations, construction, technology, or project-based industries preferred.
  • Proficiency with business productivity tools such as Google Workspace, Slack, and related systems.

This position has the following mental capabilities and cognitive requirements:

  • Able to read, write, spell and communicate effectively in English, ensuring clear and concise documentation and communication.
  • Advance math skills.
  • Basic reporting skills.
  • Dependable and organized, able to work independently while maintaining focus and attention to detail.

  • Near visual acuity and color differentiation.

Working Conditions:

  • Primarily office-based work environment.
  • Extended periods of computer use and desk work.
  • Ability to lift or move moderate weight, such as office materials.

Job Type: Full-Time (approximately 40 hours per week)

Hourly Rate: $32-$38/hour
