Job description

Office Assistant - Auction House

Position Overview

We are seeking a reliable, professional, and detail-oriented Office Assistant to support the day-to-day operations of a busy auction house. This is a varied position that combines office administration, customer service, computer and auction software responsibilities, payment processing, and occasional packing and shipping.

This is an in-person position performed at our auction house location. The position requires direct customer interaction, in-person checkout and payment processing, and hands-on assistance with office, auction, packing, and shipping duties.

Prior professional office or administrative experience is preferred. The ideal candidate will have strong computer skills, a professional attitude, and the ability to learn new software and procedures. The position requires someone who is comfortable interacting with customers, managing multiple tasks, and working independently while reporting to the General Office Manager.


Responsibilities

  • Answer and direct incoming phone calls and provide professional customer service
  • Assist customers with questions regarding auctions, purchases, invoices, and merchandise pickup
  • Check out customers and accurately process purchases and payments
  • Operate the credit card processing system and handle cash and other forms of payment
  • Use the auction houseโ€™s computer software to process transactions, look up customer and auction information, and complete other auction-related tasks
  • Maintain accurate customer, transaction, and administrative records
  • Use Microsoft Office applications, including Outlook, Word, Excel, and other applicable tools
  • Prepare, update, and organize documents, spreadsheets, correspondence, and other office materials
  • Communicate professionally with customers, vendors, and colleagues by phone, email, and in person
  • Assist the General Office Manager with general administrative tasks and daily office operations
  • Help maintain an organized and professional office and customer checkout area
  • Occasionally pack merchandise carefully and appropriately for shipment
  • Prepare shipping labels, documentation, and packages as needed
  • Assist with other duties and projects as assigned


Qualifications & Experience

Required:

  • Previous professional office, administrative, customer service, or related work experience
  • Strong computer skills and the ability to learn new software and technology
  • Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook
  • Excellent customer service and communication skills
  • Strong attention to detail and accuracy
  • Professional demeanor and ability to communicate effectively with customers and coworkers
  • Strong organizational and time-management skills
  • Ability to manage multiple priorities in a busy environment
  • Reliable, punctual, and dependable
  • Comfortable handling financial transactions and using credit card processing equipment
  • Ability and willingness to work in person at the auction house location for all scheduled shifts
  • Ability and willingness to learn the auction houseโ€™s computer software and procedures

Preferred:

  • Previous experience with auction, retail, sales, accounting, or inventory software
  • Experience with point-of-sale or payment processing systems
  • Previous shipping and packing experience
  • Experience working in a customer-facing office environment

Employment for this position is at will, meaning either the employee or the company may end the employment relationship at any time, with or without cause or advance notice, subject to applicable federal, state, and local laws.
