Job description

We are seeking a highly organized, tech-savvy, and adaptable Auction Operations & Marketing Coordinator to join Brunk Auctions, a premier regional auction house located in Asheville, NC with an international reach. Hosting approximately 35 auctions a year, we specialize in high-end items—including Fine Art, Jewelry, Coins, Silver, and Furniture—and cater to a sophisticated, ultra-high-net-worth clientele nationwide. In this in-house hybrid role, you will bridge the gap between technical auction administration and dynamic digital marketing, serving as the internal champion for our proprietary inventory software (Vault), managing online auction platforms, providing general IT troubleshooting, and executing targeted marketing and social media campaigns to promote our world-class auctions.


Key Responsibilities


1. Auction Administration & Technology Support


Inventory System Management: Oversee the implementation, day-to-day use, and user permissions of Vault software; train staff and act as the primary internal contact for troubleshooting.

Platform Liaison: Maintain active communication with software and platform support teams regarding updates, bug fixes, and feature requests.

Auction Data Management: Upload Catalogs and Auctions to digital platforms, manage lot correction lists, proofing cycles with specialists, and post-auction data downloads.

Live Auction Execution: Act as an auction clerk on digital platforms during auctions.

IT Support: Provide basic technical support including setting up, backing up, updating, and troubleshooting office hardware (iPads, computers, printers).


2. Marketing & Digital Media Content


Reporting to/Working with the Marketing Director

Email Marketing: Design, draft, schedule, and proof all email campaigns (including Art Brain emails) and manage subscriber lists.

Social Media Management: Manage and create original content for Instagram, Facebook, X, and YouTube; assist with video production, edit photos, etc.

Collateral Design: Create high-quality marketing deliverables (PDFs, consignor proposals, bidder packets, and digital flipbooks).

Digital Advertising: Build, budget, and run targeted Meta ad campaigns; utilize WordPress to generate trackable links and analyze performance via Google Analytics.

Print Advertising: Assist with schedule, purchase, and oversee print advertisement placements (e.g., MAD/Bee ads, sponsorship brochures, banners).


3. Assisting Client Services Manager


Front Desk Operations: Answer phones, route calls, greet visitors, and assist with general inquiries.

Client Financials: Process invoices, check out clients in person and over the phone, and securely handle credit card transactions.

Auction Logistics: Register clients in software (Vault), create pre-receipt spreadsheet lists for pick-ups, and print necessary contracts or shipping labels.

Administrative Assistance: Support team members with client outreach, including sending shipping quotes and coordinating general mailings.



Qualifications & Skills

Experience: 2+ years of experience in auction house operations preferred, gallery administration, or a dual in corporate technology / marketing


Technical Proficiency:

Strong database management skills, Microsoft Office Scripts

Digital marketing tools: Meta Ads Manager, Google Suite Apps and Scripts, Email Marketing Software (Artbrain) and WordPress.

Creative tools: Adobe Creative Suite (Photoshop, InDesign) or Canva; basic video/audio editing tools for social media.

Hardware: Comfortable troubleshooting MacOS/Windows systems, iOS devices, and network printers.

Soft Skills: Extreme attention to detail (essential for proofing and lot corrections), strong communication skills for client relations, and the ability and willingness to multitask in a fast-paced environment.
