About the Opportunity

GLI is seeking a highly organized and detail-oriented Administrative Assistant to support our Legal Department at our world headquarters in Lakewood, New Jersey. This role is ideal for someone who enjoys working in a fast-paced professional environment, managing multiple priorities, and supporting critical business operations.

As a member of our Legal team, you will work cross-functionally with departments throughout the organization, assisting with contract administration, licensing activities, legal documentation, compliance support, and other administrative functions essential to the success of the business.ย 

Key Responsibilities
  • Manage and maintain records within the contract management system.
  • Monitor contracts throughout their lifecycle and follow up to ensure deadlines are met.
  • Assist with domestic and international registration and licensing filings.
  • Prepare, process, and organize legal documents, contracts, correspondence, and applications.
  • Coordinate contract signature processes and document execution.
  • Conduct file maintenance, organization, and audits in accordance with departmental procedures.
  • Support reporting, data entry, filing, scanning, and general administrative functions.
  • Respond to phone, mail, and email inquiries in a professional and timely manner.
  • Assist executives and local management with administrative support as needed.
  • Collaborate with internal departments to promote smooth and efficient operations.
  • Participate in special projects and additional assignments as required.

Qualifications
  • High School Diploma or GED required.
  • 1โ€“2 years of experience in an administrative or similar role.

      • Students graduating in May 2026 - December 2026 are welcome to apply!
  • Proficiency with Microsoft Office applications.
  • Experience with SharePoint and LinkSquares is a plus.
  • Strong organizational, time-management, and communication skills.
  • Ability to work independently while supporting a collaborative team environment.
