Job description

Duties/Responsibilities:

  • Answer all incoming phone calls in a timely, courteous, and professional manner. Greet customers warmly, listen to their needs, and direct calls to the appropriate department or staff member.
  • Screen calls and transfer them to the correct service department, sales team, or other relevant personnel. Take accurate messages and ensure that they are relayed promptly to the intended recipient.
  • Address basic customer questions regarding dealership services, operating hours, vehicle availability, promotions, or general information. Provide accurate information and direct inquiries to the relevant departments when necessary.
  • Document and track incoming calls, including customer information, inquiries, and service requests.ย 
  • Assist customers with basic inquiries, such as locating the dealership, providing directions, and answering questions about products or services offered. Escalate more complex requests to the appropriate staff members when needed.
  • Direct messages to the relevant team members and follow up as necessary.
  • If a customer expresses dissatisfaction or raises a concern, handle the issue professionally and escalate it to the relevant department or manager for further resolution.
  • Maintain clear communication with other departments, especially service, sales, and parts, to ensure customers are directed to the right person and their needs are addressed efficiently.
  • Uphold the dealershipโ€™s reputation by maintaining a positive, friendly, and helpful attitude when interacting with both customers and colleagues.
  • Perform additional clerical duties as needed, such as filing, scanning repair orders and parts tickets, maintaining office supply inventory, organizing paperwork, and assisting with general office tasks to support dealership operations.
  • Must maintain a consistent work schedule of 7:30 a.m. to 4:30 p.m. and demonstrate reliable, dependable attendance each workday.
  • Consistent attendance and punctuality are critical requirements of this position. The Telephone Operator serves as the primary contact for customers and employees; therefore, reliable attendance and timely arrival for scheduled shifts are mandatory. Employees must promptly notify their supervisor of any absence tardiness or scheduling issue in accordance with company procedures. Excessive absences, tardiness, or attendance-related performance issues may result in corrective action, up to and including termination.

Required Skills/Abilities:

  • Automotive knowledge is a plus but not necessary.
  • Exceptional phone etiquette with the ability to communicate clearly, calmly, and professionally. Strong listening and verbal communication skills are essential.
  • A positive, friendly demeanor with the ability to remain calm and efficient in a fast-paced, busy environment. Ability to address customer concerns and questions with patience and professionalism.
  • Ability to manage multiple calls and tasks at once. Strong attention to detail and the ability to prioritize calls effectively.
  • Comfortable using a multi-line phone system, as well as basic computer programs such as Microsoft Office and the dealership's management system (DMS).
  • Ability to work well within a team and collaborate effectively with other departments, including sales, service, and parts, to ensure a seamless customer experience.
  • Ability to handle high call volumes and manage time effectively to avoid delays in call routing or service.
  • A friendly, professional demeanor and the ability to represent the dealership in a positive light with customers and coworkers.

Preferred Skills/Abilities:

  • Previous experience in a receptionist, customer service, or call center role
  • Additional coursework or certifications in office management, customer service, or communications

Education and Experience:

  • High school diploma or equivalent required.
