Responsibilities

This role will implement program needs, assist with executive projects or campaigns as well as organize and support daily functions of the Fund Administration and Donor Experience team. Job responsibilities include, but are not limited to:

  • Donor Relations and Stewardship: Execute stewardship gift acknowledgement efforts in coordination with team leadership including weekly and monthly printing, mailing and digital distribution for multi-level gift acknowledgement matrix to thank donors. Assist with completing annual endowment report mailing to 4,000+ households including mail merge, collation, editing/proofing, and mailing. Support research and redistribution of returned mail. Assist in execution of Scholarship Thank You Letter process including student outreach, mail merge, and distribution of letters to donors. Provide stewardship support for top-level donors including special communications, impact reporting, coding in the CRM, and individual stewardship plans.
  • Event Management: Vendor coordination, space reservation, ordering, and logistics for stewardship special events including donor/student scholarship luncheons and Grateful Vol Day. Support leadership with development of event itineraries, bios, name tags, and other event needs.
  • Fund Administration: Maintains alumni and donor data integrity in the Advancement CRM (ACE/Salesforce) by updating fund records and validating constituent and designation information. Ensures accurate linkage among gift funds, donor accounts, gift agreements, and endowment records. Assists with the organization, maintenance, and electronic filing of gift agreements and fund documentation to support donor intent, compliance, and efficient retrieval. Supports campus partners by routing inquiries and coordinating follow-up related to fund activity, gift agreements, and account setup.
  • Administrative: Provides administrative support for the FADE team, including scheduling meetings and stakeholder appointments, coordinating logistics, and maintaining departmental files. Processes invoices and expense reports, orders supplies, and supports daily operational needs. Provides project coordination support by maintaining schedules, tracking assignments and milestones, and utilizing project management software. Cross-trains on financial reconciliation, procurement card documentation, and contract processing as assigned.
Qualifications

Required Education and Experience

The candidate who fills the Advancement Assistant III position is required to have:

  • High school diploma with 5+ years office experience or Business/Technical graduate with 3+ years of office experience or administrative experience
  • Proficient in Microsoft Office Suite
  • A valid driver's license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general, any significant driving offense less than 12 months old will eliminate the application from consideration for the position.

Preferred Education and Experience

In addition to meeting the required qualifications, the preferred candidate will have:

  • Project management, spreadsheet management (MS Excel) expertise, event/meeting coordination and planning experience
  • Excellent interpersonal skills
  • Attention to details
  • Ability to work in a fast-paced team-oriented environment
