Job description

Receptionist / Administrative Assistant The Receptionist / Administrative Assistant serves as the first point of contact for customers, visitors, vendors, and employees while providing administrative and clerical support to ensure efficient office operations. This role is responsible for managing front desk activities, handling communications, supporting document management, assisting with billing and ERP-related tasks, and providing general administrative support across multiple departments. The ideal candidate is professional, organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment.   • Answer, screen, and direct incoming phone calls while providing exceptional customer service and ensuring inquiries are routed to the appropriate department.
  • Greet visitors, customers, vendors, and business partners in a professional and welcoming manner.
  • Manage incoming and outgoing mail, deliveries, courier services, and general front office activities.
  • Maintain an organized reception area and support a professional office environment.
  • Perform administrative duties including filing, scanning, copying, document preparation, and records management.
  • Maintain and update customer, vendor, and company information within internal databases and business systems.
  • Assist with preparing reports, correspondence, forms, spreadsheets, and other business-related documents.
  • Coordinate meetings, appointments, calendars, and conference room scheduling as needed.
  • Monitor office supply inventory and place orders to ensure adequate stock levels.
  • Enter and maintain customer, vendor, inventory, and billing information within the company's ERP system.
  • Assist with invoice preparation, billing review, data verification, and routine transaction processing.
  • Support accounting and operations teams with administrative tasks related to invoicing, payment processing, and recordkeeping.
  • Research and assist with resolving billing discrepancies while maintaining accurate documentation.
  • Handle confidential financial, customer, and employee information with professionalism and discretion.
  • Provide general administrative support to leadership and departmental teams as needed.
  • Assist with special projects and additional office responsibilities as assigned.
Qualifications
  • High school diploma or equivalent required.
  • Previous experience in a receptionist, administrative assistant, customer service, or office support role preferred.
  • Experience working with ERP systems, billing processes, or accounting-related functions is a plus.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal abilities.
  • Professional phone etiquette and front desk presence.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, SharePoint, and OneDrive.
  • Strong organizational skills with excellent attention to detail and accuracy.
  • Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Dependable, professional, and capable of working independently as well as part of a team.
