Job description

Portland Harbor Hotel and Cambria Portland Downtown-Old Port, Colwen Hotels Properties, are seeking an experienced and well-organized Sales Coordinator to provide the necessary support to the Sales Team. The successful candidate will become the point of reference for clients and guests by managing room blocks, groups, event details and billing. General Responsibilities:
  • Assists the sales team with leads, group detailing, events, site tours, event detailing & event execution
  • Coordinate the sales team by managing room blocks, groups, and schedules, distributes BEO's, group billing, organize filing, and communicating relevant information
  • Respond to client needs throughout the sales process
  • Coordinate with other departments as necessary
  • Responsible for sales office coverage
  • Provide administrative support to the sales team including, but not limited to, answering phones, correspondence, assigning activities, assisting in site tours and reports, room blocks
  • Assists the Sales Team with day of coordination, and execution for groups, meetings and events
  • Ensure accuracy and timeliness of sales-related material, including event billing
  • Must be able to show initiative including guests and operation needs
  • Prepare written correspondence, group resume, weekly BEO's and reports and other reports as requested by the sales team
  • Perform other duties as assigned

Requirements:
  • Previous related experience, hotel preferred
  • Previous Customer Service a plus
  • Organized, strong ability to multi-task, detail-oriented

  • Ability to compile, analyze and communicate data
