ABOUT THE ROLE:

The Unique Asset Administration Associate provides operational and administrative support for the Unique Asset Group. This role is responsible for processing transactions, maintaining systems and records, supporting asset onboarding and maintenance activities, and assisting with reporting and operational tasks associated with specialized assets. The role serves as a key operational partner to ensure accuracy, compliance, and efficient execution of asset-related activities.

YOUR RESPONSIBILITIES:

The responsibilities for this role are below; you may support projects of varying complexity based on skill and organizational priorities.

  • Operational Processing: Executes operational and administrative activities related to onboarding, maintenance, servicing, and support of unique assets.
  • Transaction Execution: Processes payments, receipts, accounting activity, invoices, and asset-related transactions in a timely and accurate manner.
  • Systems Administration: Maintains records and information within trust, accounting, and asset management systems while ensuring data integrity.
  • Reporting Support: Generates reports, monitors key activities, tracks deadlines, and identifies items requiring follow-up or escalation.
  • Documentation Management: Maintains asset documentation and coordinates required records, reports, correspondence, and supporting information.
  • Issue Identification: Recognizes operational issues, processing discrepancies, and administrative concerns and escalates concerns when appropriate.
  • Partner Support: Works closely with asset managers, operations partners, internal business partners, and vendors to support workflow execution.
  • Process Consistency: Adheres to established procedures and operating standards while contributing to a well-controlled operating environment.
  • Continuous Improvement: Supports enhancements to operational processes and procedures that improve efficiency and service quality.
  • Workload Coordination: Effectively manages multiple responsibilities and deadlines while supporting team and business priorities.
  • Other Duties: Performing other duties as assigned, adapting to new tasks or shifts in priorities as necessary to support your team's and the company's mission.

MINIMUM REQUIREMENTS:

  • High School Diploma or equivalent required
  • 3 years of operational, administrative, financial services, or related experience

Qualified candidates will possess an introductory degree of proficiency (typically from 3 years of work or practical experience), in:

  • Operational Processing: Ability to accurately execute transactions and administrative activities in accordance with established procedures and service standards.
