Job description

Virginia Children’s Theatre (VCT) is the only professional theatre in the commonwealth solely dedicated to youth, schools and their families. VCT produces a variety of high caliber professional literary based musicals, concerts, and issue driven plays each season. These productions are produced here in the Roanoke Valley and toured throughout the commonwealth of Virginia. The VCT Theatre Academy provides year-round high-quality music, theatre and dance education for students Pre-K through 12th grade through our in-school residencies, in-house classes & camps and outreach across the commonwealth.

The Bookkeeper/Business Manager will start off as a part-time (10 hours/week) position, with the potential to grow as the Theatre grows. The position is comprised of accounting and administrative support functions. This position works closely with the Producing Artistic Director and Board Treasurer. The Bookkeeper/ Business Manager ensures that all financial transactions are entered into Quickbooks and have been processed according to the Financial guidelines approved by the board. This position also ensures timely, accurate, processing of annual 1099 filings, prepares documentation for CPA to conduct annual audit and annual 990.

General administrative tasks include preparing checks for Producing Artistic Director or Treasurer to sign, ensuring that financial reports are prepared and ready for monthly Board Meeting. Completion of other duties as assigned by Producing Artistic Director.

Salary Range TBD depending on experience. Part-time 10 hour/week position, with potential of more hours as the VCT continues to grow.

Bookkeeping Job Duties/Responsibilities

  1. Process accounts payable and receivable including: enter and verify bills, invoices, and purchase orders, ensuring compliance with the financial handbook.
    • Process payments, deposits, and post into the system
    • Reconcile checking, savings, customer and vendor accounts
    • Set up and maintain financial records in paper and cloud-based file systems.
  2. Maintain confidentiality regarding organization's financial and personnel information
  3. Assist in preparation of support work for the audit and annual 990 filing.
  4. Prepare monthly, quarterly and annual financial statements for review by external third
    party. And in time for monthly financial review by VCT Board of Directors.
  5. Prepare annual 1099 filings for contractors.

Knowledge, Skills, and Abilities

  1. Quick Books Pro experience (minimum 2 years)
  2. Proficient use of
    • Microsoft Office products including Word (including the use of tables), Excel, and Outlook;
    • Effective communications skills (orally and in writing) in English.
  1. Strong organizational skills.
  2. Ability to work effectively in a face-paced environment with changing priorities, while maintaining professionalism and strong rapport with EIS team members.
  3. Consistently maintains a professional demeanor, appearance, and work environment.

Education and Experience Required:

  1. An associate’s degree or two years college coursework or 3-5 years work experience in lieu of degree or college coursework.
  2. Two to five years of progressive experience and responsibility in a bookkeeping
    and administration position.
  3. Nonprofit experience, preferred.

Supervisory Responsibility

This position has no direct supervisory responsibility.

Work Environment

Work is regularly performed in an office environment and is regularly exposed to noise.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk, hear, and see. The employee is frequently required to sit and stand; walk; use hands to type, finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work

This is a part-time position with hours set by Producing Artistic Director. Standard days and hours of work are Monday through Friday, with hours between 8:30 a.m. to 5:00 p.m., with a minimum of 2 days per week.
