Job description

Job Summary

The Assistant Traffic Manager is responsible for scheduling and coordinating the movement of products in and out of the facility, maintaining accurate records of all traffic activities, and serving as a key point of contact for customers, vendors, and regulatory agencies. This role ensures the efficient handling of all materials, especially hazardous substances-while maintaining compliance with safety and environmental regulations.

Responsibilities

  • Serve as the primary point of contact for customers, handling order intake, providing updates, and sharing relevant information to support customer needs.

  • Schedule the movement of products into, out of, and within the facility's tankage, ensuring readiness for new or different products.

  • Coordinate all product transfers in collaboration with the Bulk Oil and Miscellaneous Liquids Departments.

  • Communicate with ship agents, barge dispatchers, and inspection companies to facilitate and expedite product movements.

  • Monitor and track product movements from initiation to completion, documenting times and operational details for all involved tanks and/or vessels.

  • Calculate movement figures, including rates and quantities. Compare inbound and outbound volumes and perform preliminary investigations into any discrepancies. Authorize vessel departures once all data is reconciled.

  • Maintain comprehensive and organized Traffic files.

  • Accurately enter all Traffic-related data into the facility's computerized inventory system.

  • Prepare and issue letters of protest as needed.

  • Manage and monitor all regulatory documentation.

  • Notify appropriate authorities in the event of a spill or emergency.

  • Oversee the identification and quantity tracking of all hazardous substances handled at the facility, ensuring compliance with relevant regulations.

Education and Experience

  • High School Diploma or equivalent

  • 2 years of experience in logistics, transportation, or terminal operations preferred.

  • Valid Driver's License

  • TWIC (Transportation Workers Identification Credentials) for access to IMTT's terminal locations.

Skills and Abilities

  • Clear and concise written and verbal communication skills in the English language.

  • Ability to understand written and verbal communication in the English language.

  • Ability to make decisions in a variable environment.

  • Ability to communicate with all other terminal departments.

  • Knowledge of basic mathematics. (addition, subtraction, multiplication, division, and fractions)

Hours of Work

  • This is a non-exempt, hourly position. Employees are scheduled to work assigned shifts within a 24/7 operation, including nights, weekends, and holidays. All hours worked must be accurately recorded, and overtime is paid in accordance with FLSA and company policy.

  • Occasional travel may be necessary, sometimes with little or no advance notice.
