Administrative Assistant to the Pastor

About the Role
Bethel AME Church seeks a highly organized, discreet, and mission-driven Administrative Assistant to support the Senior Pastor. This position serves at the heart of the Immediate Office of the Pastor, providing confidential administrative support that enables the Pastor to fulfill Bethel's mission: to minister to the social, spiritual, and physical development of all people.
The ideal candidate brings strong administrative competence, sound judgment, and a genuine commitment to the work of the church. You will serve as a trusted extension of the Pastor's office, managing a high volume of sensitive responsibilities with professionalism and care.
In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.ย
Key Responsibilities
Office & Calendar Management
โขย ย ย Manage the Pastor's calendar, resolve scheduling conflicts, and coordinate all meeting logistics
โขย ย ย Prepare agendas, gather background materials, and ensure follow-up on action items
โขย ย ย Maintain a correspondence control system; track due dates and follow up proactively
โขย ย ย Open, sort, and distribute all incoming mail
Communications & Liaison
โขย ย ย Serve as the primary point of contact between the Pastor, church staff, and leadership team
โขย ย ย Draft and proofread correspondence, commendations, thank-you notes, and official documents
โขย ย ย Coordinate with ministers, Stewards, Trustees, members, and external partners on behalf of the Pastor
โขย ย ย Timely refer all media inquiries to the Pastor and Director of Church Growth
Travel & Logistics
โขย ย ย Prepare travel itineraries, make reservations, and notify relevant churches and officials
โขย ย ย Prepare and submit accurate travel and reimbursement vouchers
Administrative Operations
โขย ย ย Attend staff meetings; record, summarize, and distribute minutes
โขย ย ย Track priority assignments and ensure commitments made by the Pastor are fulfilled
โขย ย ย Manage small office supply purchases and monthly credit card reconciliation
โขย ย ย Compile documents and information for external requests as directed
โขย ย ย Assist in the preparation of flyers, bulletins, rundowns, scripts, and other documents
- Answer incoming phone calls and route them to the appropriate person
- Schedule appointments and maintain a calendar
- Organize meetings and take accurate minutesย
- Write emails, memos, and letters and distribute them appropriately
- Contribute to company reports
- Maintain an organized filing system
- Develop, update, and maintain relevant office procedures
Qualifications
Required
โขย ย ย Demonstrated experience in executive or senior administrative support
โขย ย ย Exceptional written and verbal communication skills
โขย ย ย Strong proficiency in Microsoft Office and general office technology
โขย ย ย Ability to handle highly confidential matters with discretion and integrity
โขย ย ย Strong organizational skills and ability to manage competing priorities
โขย ย ย Professional demeanor and appearance befitting a key member of Bethel AME's administrative team
Preferred
โขย ย ย Familiarity with AME Church governance, The Doctrine and Discipline of the AME Church, or faith-based organizational structures
โขย ย ย Experience supporting a senior leader in a church, nonprofit, or mission-driven organization

Qualifications
- High school diploma/GED required, Associateโs degree or administrative training is preferred
- Previous experience as an Administrative Assistant or in a similar position
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
