Brethren Village is seeking a proactive and experienced Scheduling Managerto lead and manage the clinical scheduling function for Brethren Village.

The successful applicant will possess:

  • at least 5 years of professional experience in a directly-related position, such as Nurse Scheduler or Scheduling Manager for a skilled nursing facility, personal care facility, or acute care facility
  • prior supervisory experience
  • basic understanding of state and federal staffing-related requirements applicable to skilled nursing and personal care facilities
  • the ability to effectively and efficiently use technology (databases, apps., spreadsheets, time and attendance systems) to perform job duties, compile and analyze data, and prepare and run useful reports
  • familiarity with Payroll Based Journal regulations / requirements
  • experience implementing enhancements to processes and procedures to increase efficiency, reduce cost, and/or improve service

The Scheduling Manager provides leadership, management, and hands-on administration for the scheduling function for the Brethren Village Skilled Nursing Facility, Short Term Rehab. Center, and Personal Care areas, and supervises two Schedulers.

The Scheduling Manager provides daily oversight for the scheduling function within Skilled Care areas and Personal Care, helping to ensure:

  • appropriate clinical staffing levels on all shifts and units, based on budgeted and approved staffing ratios and federal and state requirements
  • adherence to staffing-related budgets and targets
  • accurate timesheets and associated payroll processing for clinical staff
  • accurate data entry and billing for contracted agency staff
  • appropriate communication to clinical staff regarding their schedules and attendance obligations
  • efficient and effective use of technology tools for scheduling, and for the gathering, analysis, and reporting of related data

The Scheduling Manager completes and submits required Payroll Based Journal reports in an accurate and timely manner, and develops and analyzes other reports to guide decision-making.

The Scheduling Manager will also assist the Schedulers with hands-on staffing and scheduling activities as needed, including reaching-out to staff to fill vacancies; reviewing and approving timesheets; completing data entry; working with staffing agencies when needed.

Work Schedule:

  • Full-time, benefits-eligible:40 hours per week, on-site, Monday - Friday, plus additional hours as needed to fulfill responsibilities
  • Occasional early morning, evening, and weekend work hours will be necessary
