What is an assistant rooms executive?

Assistant Rooms Executives are hospitality professionals responsible for overseeing the daily operations of a hotel's rooms division, which typically includes front office, housekeeping, and guest services. They assist the Rooms Division Manager or Director in ensuring high standards of guest satisfaction, efficient room assignments, and effective staff management. Their duties often involve supervising teams, handling guest complaints, coordinating with other departments, and implementing operational procedures. Strong leadership, communication, and organizational skills are essential for success in this role.

What are the key skills and qualifications needed to thrive as an assistant rooms executive?

Familiarity with property management systems (PMS), reservation software, and industry certifications such as CHA (Certified Hotel Administrator) are highly beneficial. Excellent leadership, problem-solving, and interpersonal skills set outstanding professionals apart in this role. These competencies ensure seamless guest experiences, efficient team coordination, and high operational standards in hospitality environments.

What are some typical challenges faced by an assistant rooms executive, and how can they be effectively managed?

This is a highly visible role responsible for delivering a world-class, white-glove technology experience for our CEO, his direct reports, the Board of Directors, and their assistants, while also serving as the IT Site Owner for our Indianapolis headquarters. You will proactively anticipate needs, remove technology barriers, and ensure our leaders can focus on running the business, not troubleshooting IT. This role is critical in maintaining operational excellence and requires a unique blend of technical mastery, impeccable communication, and strategic problem-solving.

  • Deliver premium 'white-glove' IT support for the CEO, Executive Committee, their Executive Assistants, and other senior stakeholders.

  • Provide dedicated, end-to-end technology planning and support for quarterly Board of Directors meetings. This includes traveling to offsite locations 3-4 times per year, preparing and transporting all necessary backup equipment, and ensuring a flawless technical experience for all board members.

  • Orchestrate and deliver flawless IT execution for high-profile events, including Executive Leadership Meetings, Global Town Halls, and investor meetings, managing everything from video setup to live streaming support.

  • Provide rapid, proactive, and highly personalized support for executive laptops, mobile devices, collaboration technologies, conferencing systems, and peripherals.

  • Build trusted relationships with executives and executive assistants by understanding individual technology preferences and business needs.

  • Serve as the IT Site owner for Elanco Global Headquarters.

  • Ensure conference rooms, executive meeting spaces, collaboration areas, and training facilities remain fully operational and production-ready.

  • Provide basic technical support for social media initiatives, including assistance with video content and other digital media as needed.

  • Partner closely with Global IT teams to align local technology services with enterprise standards.

  • Manage third-party vendors and ensure contracted service levels are consistently achieved.

  • Oversee local IT procurement and manage selective internal processes.

  • Develop and monitor KPIs for service delivery, customer satisfaction, response times, and operational excellence.

Minimum Qualifications

  • Bachelor's degree in Computer Science, Information Technology, or a related discipline, or equivalent professional experience.

  • 7+ years of enterprise IT support experience in a mid-to-large corporate environment.

  • A minimum of 5 years of dedicated experience providing 'white-glove' IT support directly to C-level executives, their direct reports, and executive assistants.

  • Demonstrated experience providing technical leadership for high-stakes corporate events, including offsite Board of Directors meetings, shareholder meetings, and all-hands town halls.

  • Strong experience supporting: Windows 10/11, Microsoft 365, Microsoft Teams & Teams Rooms hardware, Lenovo laptops, Apple macOS, iPhone/iPad, Enterprise printing, and basic networking/AV technologies.

  • Experience using ServiceNow or similar IT Service Management platforms.

  • Experience managing IT vendors and procurement activities.

  • Outstanding troubleshooting and analytical problem-solving abilities.

  • Exceptional verbal and written communication skills, with the ability to confidently interact with executive leadership.

  • Willingness to provide frequent after-hours and on-call support as dictated by executive and business needs.

Preferred Qualifications (Competitive Edge)

Candidates with one or more of the following qualifications will be highly regarded:

  • ITIL Foundation Certification.

  • CompTIA A+, Network+, Security+, or equivalent certifications.

  • Business Relationship Management (BRM) experience.

  • Customer Success or Executive Technology Support experience.
