Job description

Patient Concierge / Medical Receptionist

The Patient Concierge / Medical Receptionist is proficient in all areas of making a compassionate environment for our patients. This role serves as the first point of contact for patients, providing a warm and professional welcome. The role involves managing front desk operations, such as greeting patients, answering incoming correspondence, facilitating communication between patients and clinical staff, and scheduling appointments.

Hours: Monday - Friday 7 a.m. - 4 p.m. with weekend and holiday rotation required. There may be some days when arriving earlier may be required, hours may vary based on workload. There may be some travel involved to other locations to cover receptionist duties.

Essential Responsibilities:

  • Greet and welcome patients with a friendly, compassionate, and professional demeanor.
  • Respond to all incoming correspondence, including phone calls, emails, faxes, etc., or direct the individual to the correct contact.
  • Answer patient inquiries, providing accurate information about services, scheduling, and policies. Address and resolve patient concerns and questions promptly.
  • Handle patient check-ins and check-outs, collect payments, etc.
  • Verify patient and partner information, including demographics and insurance. Scan IDs and insurance and upload to the EMR system.
  • Schedule, reschedule, cancel, and confirm patient appointments. Coordinate with clinic staff on changes and/or urgent needs.
  • Ensure the reception area and waiting rooms are clean, organized, and welcoming.
  • Assist with completing and processing patient intake forms.
  • Serve as a point of contact between patients and healthcare providers, facilitating communication and ensuring that patient needs are met.
  • Assist with incoming medical records and medical record requests, as needed, if applicable to location.
  • Responsible for performing various administrative tasks, including data entry, filing, document handling, and maintaining records.
  • Ensure all patient charts and necessary tasks are completed or prepared in advance for the following business day.
  • Handle confidential and sensitive information with the utmost discretion and integrity. Adhere to healthcare regulations and clinic policies regarding patient confidentiality and data protection.
  • Other duties as assigned.

Education and/or Experience:

  • High School Diploma or GED, required
  • 1-2 years of medical administrative office experience required
  • Bilingual/Spanish A PLUS!
