Theย Assistant Property Managerย provides first-class property management services andย assistsย a Property Manager in overseeing a portfolio of commercial Office properties.ย ย Day-to-day responsibilities include assisting with issuesย regardingย building/property operations, enhancing tenant relations, vendor scheduling, and customer service.ย 

Primary Responsibilities:ย 

  • Work with Property Managers to resolve buildingย operations'ย issues.ย ย 
  • Work closely with vendors to ensure compliance with service contracts.ย ย 
  • Recommend and/or complete vendor contracts asย appropriate.ย ย 
  • Ensure adherence to property owners' policies and procedures, as well as compliance with codes, regulations, and governmental agency directives.ย ย 
  • Answer office telephone asย requiredย andย assistย callers.ย ย 
  • Receive work order requests and coordinate with the building technician or vendor(s) asย appropriate.ย ย 
  • Schedule buildingย activity,ย including move-ins/move-outs,ย and verify insurance.ย ย 
  • Follow established A/R guidelines,ย including contacting tenantsย regardingย follow-up on rent payment status andย assistingย theย Property Manager in lockouts, assigning late fees, or sending demandย lettersย as necessary.ย ย 
  • Review and ensureย the accurateย coding of invoices for payment.ย ย 
  • Assist Property Managers in the preparation of the monthly reporting package/financial reports according toย theย owner's needs.ย ย 
  • Assist Property Managers with the preparation, assembly, review, and implementation of the annual operating and capital budgets, as well as operating expense reconciliations.ย ย 
  • Assist the Property Managers asย appropriate inย coordinating insurance procurement, electricity procurement, and real estate tax review processes for properties.ย ย 
  • Ensure compliance with management agreements.ย ย 
  • Work with the Property Managers toย facilitateย accounting, leasing, marketing, and construction needs.ย 
  • Understand lease types to assist the Property Manager with ensuring Lease compliance.ย ย 
  • Process Tenantย billbacksย expenses.ย ย 
  • Assistย in the response and resolution ofย after-hoursย emergency calls as needed.ย 
  • Assistย in planning and executing tenant events withย theย management team.ย 
Qualifications
  • Bachelor's Degree preferred.ย 
  • 2+ย yearsย ofย experienceย inย theย Commercial Property Management industryย preferredย 
  • Excellent customer service skillsย 
  • Strong verbal and written communication skills; prior experience communicating with tenants and/or vendors in a professional, courteousย environmentย 
  • Previousย experience using real estate software (Yardi or MRI, Kardin, AvidXchange, IMPAK, or similar programs)ย 
  • Basic accounting knowledge and skillsย 
  • Good organizational skillsย
