Jobย Title: Assistant Project Manager, Constructionย Administrationย ย 

Department: Capital Planningย 

Reportsย To: Project Manager III

Level: 8ย 

The Construction Administration Team manages school building projectsย fromย designย development through bidding, contract award, construction,ย commissioningย and project close-out.ย 

The Assistant Project Managerย works with a motivated teamย reportingย to a Project Manager IIIย toย accomplishย the vital function ofย monitoringย the scope, schedule and budget of Massachusetts public school projects whileย assistingย in theย day-to-day management ofย theseย projects.ย ย As part of a small team in a quasi-independent state agency, the Assistant Project Manager contributes to theย team's success by assistingย projectย managersย in support of their projects through each phase of the capital pipeline process, and theย MSBA's mission ofย partnering with school districts toย build the best schools possible for Massachusetts students.

Essential Functions

  • With guidance from team members and Project Managerย 3,ย review andย monitor project schedules, budgets andย scopeย whileย tracking project-specific events,ย costsย and construction developments.ย 
  • Participateย and report onย siteย visitย activityย ofย schoolย buildingย projectsย duringย construction,ย bothย at the project site as well as remote visitsย with the project team.ย 
  • Participateย inย theย monitoringย ofย project schedules,ย budgetsย andย scope.ย ย Report progress and observations to department staff at weekly meetings.ย 
  • Assist in reviewing and preparing change order documentation as member of a team reporting to a Project Manager 3; perform preliminary review of other required submittals for funded capital projects for quality of work and guideline conformance.ย 
  • Assume responsibility forย specificย initiativesย assigned byย theย Projectย Managerย 3ย thatย implementย best practices for school building,ย from the quality and cost-effectiveness of constructionย to long-term durability and sustainabilityย with the latestย developmentsย in clean energy strategies for building construction.ย 
  • Participateย inย projectย meetingsย addressingย projectย status,ย fundingย agreements,ย budgetย amendments,ย changeย ordersย andย prepareย meeting minutes and actionย items.ย 
  • With the guidance from team members and Project Manager 3, assist and analyze reimbursement applications, budget revisions, design submission review comments, monthly reports and closeout documents.ย 

Required Skills and Knowledge

  • Bachelor's degree in one of the following: project management, construction, architecture, engineering, orย a relatedย field.ย 
  • One-to-three years of experience associated with construction, project management, building design or other applicable disciplines.ย 
  • Qualifiedย graduatesย enteringย theย workforce directly from college will also beย considered.ย 
  • Knowledgeย of, orย demonstratedย interest through education, constructionย projectย administration,ย complianceย and scheduleย monitoring,ย andย claims processing.ย 
  • Proficiencyย inย Microsoftย Officeย softwareย applications,ย includingย Excel,ย Word,ย PowerPoint, SharePoint,ย Teamsย andย Outlook.ย 
  • Ability toย effectivelyย manage multiple tasks, involving complex and varying problems.ย 
  • Strongย verbalย and written communicationย skills.ย 
  • Ability to work both independently and as part of aย team.ย 
  • Ability and willingness to travelย occasionallyย to project sites inย Massachusetts.ย 
  • Ability to work hybrid work schedule - minimum of two (2) in-office days per week.
