Job description

Position Purpose: The Assistant Project Manager supports the planning, coordination, and execution of complex, large-scale development projects throughout all phases of the project lifecycle. This role assists the Project Manager and Construction team in overseeing pre-construction, construction, and project close-out activities to help ensure projects are completed safely, on schedule, within budget, and in accordance with quality standards. The Assistant Project Manager works closely with contractors, engineers, consultants, municipal authorities, and other stakeholders to coordinate construction activities, monitor project progress, resolve issues, and facilitate effective communication among all project participants. The role also supports the day-to-day coordination of on-site activities and helps maintain project documentation, schedules, and reporting.

Essential Functions: The following list of essential job functions is not exhaustive and may be supplemented or changed as necessary.

  • Review and analyze project plans, specifications, and contract documents to identify coordination issues, constructability concerns, and potential project risks.
  • Assist with project budgeting, cost estimating, and cost tracking throughout the project lifecycle.
  • Support pre-construction planning activities, including procurement, permitting, scheduling, and project logistics.
  • Coordinate site preparation activities, including demolition, utility installations, infrastructure work, and construction logistics.
  • Assist in developing, maintaining, and updating project schedules, and monitoring progress against established milestones.
  • Coordinate and monitor material, soil, and quality assurance testing, and document test results.
  • Develop a thorough understanding of the project scope, owner requirements, and contractual obligations.
  • Monitor project budgets and assist in identifying potential cost impacts and budget variances.
  • Coordinate the delivery, installation, and inspection of owner-furnished equipment and materials.
  • Review, track, and evaluate requests for information (RFIs), submittals, and change order requests, and provide recommendations as appropriate.
  • Identify and communicate issues that may affect project schedule, budget, quality, or safety, and assist in developing timely solutions.
  • Monitor construction activities to help ensure work is performed in accordance with contract documents, project specifications, and applicable codes and regulations.
  • Maintain accurate daily reports documenting site activities, workforce, weather conditions, inspections, visitors, and construction progress.
  • Organize and maintain complete project documentation, including contracts, schedules, permits, inspection reports, meeting minutes, shop drawings, change orders, testing reports, insurance certificates, invoices, lien releases, and closeout documentation.
  • Assist the design and construction teams in developing, tracking, and completing punch list items.
  • Coordinate with municipal, state, and federal inspectors during site visits and facilitate required inspections.
  • Observe construction progress and quality and communicate observations to the Project Manager while supporting field coordination between the owner, design team, and contractors.
  • Assist in coordinating owner occupancy activities prior to substantial and final completion.
  • Participate in project commissioning, substantial completion, and final inspections.
  • Review contractor payment applications and assist in verifying completed work for payment approval.
  • Collect, review, and organize project closeout documents, including as-built drawings, warranties, operations and maintenance manuals, technical documentation, and manufacturer information.
  • Review architect and engineer field reports, monitor corrective actions, and follow up to ensure timely resolution of outstanding issues.
  • Attend project meetings, prepare meeting notes, and track action items to support effective communication among project stakeholders.

Qualifications and Requirements: The individual must possess the knowledge, skills, and abilities necessary to perform the essential functions of the position, with or without reasonable accommodation.

  • A bachelor's degree in construction management or engineering and 1-2 years of direct experience in residential construction is required. Demonstrated experience in large scale mixed-use construction management is strongly preferred.
  • Thorough knowledge of building systems, construction techniques, current practices, means, methods, materials, and project coordination.
  • Strong understanding of construction site administration, safety requirements, financing, and accounting principles.
  • Ability to read, interpret, and apply construction drawings, specifications, contracts, building codes, and regulatory requirements, including researching code-related issues.
  • Knowledge of material testing and sampling procedures, warranties and warranty limitations, environmental regulations, and hazardous material handling and storage.
  • Thorough understanding of the roles, responsibilities, and interactions of project team members throughout the construction process.
  • Ability to participate constructively in dispute resolution and communicate effectively through strong written and computer skills.
