Job description

Reporting to the Director of HR, the HR Assistant & Recruiting Coordinator provides front desk coverage and comprehensive administrative support to the Human Resources department while assisting with recruiting coordination and full-cycle HR operations. This role supports the employee lifecycle from recruitment through onboarding and offboarding, ensures accurate HR data management, and assists with compliance and HR systems administration. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

What Youโ€™ll Do

  • Serve as the first point of contact at the front desk, greeting visitors, clients and managing incoming communications
  • Provide daily administrative support to the HR department
  • Respond to employee inquiries regarding HR policies, benefits, and procedures
  • Maintain and update Applicant Tracking System (ATS) with job postings and candidate pipelines
  • Coordinate interview scheduling between candidates and hiring managers
  • Communicate with candidates throughout the hiring process
  • Support recruiting workflow from application through offer stage
  • Assist in maintaining accurate and current job descriptions (JDs)
  • Support additional recruiting and talent acquisition functions as needed
  • Assist with onboarding and offboarding processes, including HRIS updates and documentation
  • Maintain accurate employee records, personnel files, and HRIS data integrity
  • Support employee onboarding training and ensure new hires have necessary information
  • Assist employees with HR-related questions and support HR service delivery
  • Verify Form I-9 documentation, maintain files, and manage E-Verify cases
  • Conduct audits of HR-related systems (Human Interest, benefits, I-9 compliance, etc.)
  • Assist with compliance related to labor laws, safety training, and internal policies
  • Ensure accuracy and confidentiality of all HR records
  • Assist with coordination of training programs and onboarding orientation
  • Assist with HR reporting, metrics, and data requests
  • Support HR special projects and departmental initiatives
  • Maintain accurate and up-to-date HR documentation and systems
  • Other duties as assigned
  • Assist with DEI, wellness, and sustainability-related HR initiatives
  • Other duties as assigned.

What We Require

  • Associateโ€™s or Bachelorโ€™s Degree preferred
  • 2 years experience in HR field
  • 1โ€“3+ years of experience in recruiting support and administration
  • Must be Bilingual.
  • Ability to maintain confidentiality and discretion where necessary
  • Strong written and verbal communication skills; strong interpersonal skills and the ability to build relationships with a wide range of employees.
  • Working knowledge of employment law, benefits administration, talent management strategies, and HRIS systems.
  • Strong organizational and multitasking abilities
  • High attention to detail and data accuracy and organization skills
  • Ability to handle confidential information professionally
  • Experience with ATS and HRIS systems preferred
  • Proficiency in Microsoft Office or Google Workspace
