Job description

Personal Assistant Part-Time

We are currently seeking a part-time personal assistant to support a private family on Whidbey Island. The Personal Assistant will provide general and personalized support in a variety of work assignments in an organized and timely manner to the private family employer and their properties. The ideal candidate will be detail-oriented, self-directed, and take ownership of their tasks while providing stellar customer service in a friendly and professional manner. This is a part-time position, approximately 10-15 hours per week. Flexibility with your schedule and availability will be important. While most of the work will be conducted on-site at the family's Whidbey Island location, some work may be required at other locations in the surrounding areas and/or conducted remotely.

The Personal Assistant responsibilities include, but are not limited to:

  • Assist with general organizational projects and maintenance of properties
  • Errands such as dry cleaning, groceries, supplies, personal shopping, etc.
  • Occasional assistance with dog care for a lovable 3-year-old golden retriever, this includes dog walking, sitting, grooming appointments, travel to boarding as needed
  • Coordinating and scheduling household/property vendors, service providers, and suppliers on various issues
  • Coordinate and assist with vehicle care and maintenance
  • Travel arrangements and assistance for various trips for employer and family as needed. This may include researching travel options and collaborating with travel agents
  • Assist with party planning and social events, coordinating catering, decorations, preparing appetizers, snacks, refreshments, picking up food, set up - clean up, etc.
  • Assist with seasonal organizing and changes with household items, decorations, and storage
  • Assist with Wine Cellar inventory management
  • Occasional administrative support using Microsoft Office suite, Outlook for calendar management and scheduling
  • Performs other duties as assigned

What the successful Personal Assistant will have:

  • 3 to 5 years of personal assistant/administrative experience, preferably 2 years' experience working for a family
  • Excellent organizational skills with the ability to prioritize actions and tasks
  • Very strong interpersonal skills and the ability to build relationships
  • Excellent verbal and written communication skills. Proficient with English sufficiently able to read, write, communicate, understand and respond accurately to inquiries, and handle equipment and documents
  • Proficient in Microsoft Word, Excel, and PowerPoint. Ability to create spreadsheets and database files as needed
  • Demonstrated ability to work with confidential and sensitive materials and issues with discretion
  • Must have a valid Washington Driver's License and a reliable vehicle
  • Must be able to travel as needed
  • US work authorization required
  • Must sign a Non-Disclosure and Confidentiality Agreement
  • Must be at least 18 years old
  • Ability to perform the essential functions of this position with or without reasonable accommodation
  • Must successfully pass background and reference check

Compensation:

  • $21.00 - $28.00 per hour, DOE

Ergonomic Requirements: The employee is subject to a normal home-type environment. The employee will be required to sit, stand, walk, push, pull, reach overhead, stoop, kneel and bend to the floor. The employee may also be required to exert up to 45 pounds of force occasionally, and/or exert up to 20 pounds of force frequently. While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools, or controls. The employee is required to talk and hear. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
