PCE Operations Manager

Location: Hybrid (Illinois Preferred)
Department: Clinical Operations
Reports To: President / Vice President of Operations
Salary: $80,000–$100,000 plus performance bonus

About Harmony Health

Harmony Health is transforming how Medicare Advantage members receive care through our Personal Care Encounter (PCE) program. Our clinicians meet members where they are, helping them better understand their health, medications, and care needs while improving communication with their primary care providers and health plans.

We are looking for an organized, proactive Operations Manager who enjoys solving problems, improving processes, and keeping teams aligned. This role is ideal for someone who thrives in a fast-paced healthcare environment and wants to make a meaningful impact on patient care.

Position Summary

The PCE Operations Manager is responsible for coordinating the day-to-day operations of the Personal Care Encounter program. Working closely with leadership, clinicians, coding, scheduling, technology, and client support teams, this individual ensures the program runs efficiently while continuously improving workflows and the member experience.

This is a hands-on operational role for someone who enjoys bringing structure to complex processes, keeping multiple teams aligned, and ensuring nothing falls through the cracks. While healthcare experience is valuable, we are equally interested in candidates who have demonstrated exceptional organizational, project coordination, and operational leadership skills in fast-paced environments.

Key Responsibilities

Daily Operations

  • Coordinate the daily operations of the PCE program.
  • Monitor clinician schedules, appointment volumes, and operational performance.
  • Identify and resolve workflow issues before they impact clinicians or members.
  • Coordinate activities across multiple departments to ensure seamless operations.
  • Support leadership in implementing new operational initiatives.

Clinician Support

  • Serve as the primary operational resource for field clinicians.
  • Coordinate onboarding and orientation for new clinicians.
  • Assist with scheduling concerns, workflow questions, and operational support.
  • Ensure clinicians have the tools and information needed to provide an exceptional member experience.

Cross-Functional Coordination

Work closely with:

  • Clinical Leadership
  • Scheduling
  • Coding
  • Information Technology
  • Customer Service
  • Analytics
  • Client Success

to keep projects moving, remove barriers, and ensure operational excellence.

Performance Monitoring

Track and report operational metrics including:

  • Member Reach Rate
  • Appointment Scheduling
  • Visit Completion Rate
  • Coding Turnaround Time
  • Documentation Quality
  • Operational Backlogs
  • Member Satisfaction
  • Clinician Productivity

Prepare weekly and monthly operational reports and recommend opportunities for improvement.

Process Improvement

  • Develop and improve standard operating procedures.
  • Identify inefficiencies and recommend practical solutions.
  • Coordinate implementation of new workflows and operational processes.
  • Assist with technology rollouts and system enhancements.
  • Help build scalable processes that support program growth.

Client Support

  • Prepare operational reports and presentation materials.
  • Track action items from internal and client meetings.
  • Ensure commitments and timelines are met.
  • Maintain documentation for ongoing projects and initiatives.

Quality & Compliance

  • Support HIPAA-compliant operational processes.
  • Assist with quality assurance initiatives.
  • Monitor operational consistency and documentation standards.
  • Escalate issues requiring leadership attention.

Qualifications

Required

  • Bachelor's degree preferred, or equivalent combination of education and relevant experience.
  • 3-5 years of experience coordinating operations, projects, or cross-functional teams in a fast-paced environment. Healthcare experience is preferred but not required.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • Strong organizational, planning, and project coordination skills.
  • Excellent written and verbal communication.
  • Strong proficiency with Microsoft Office, particularly Excel.
  • Comfortable learning new technology platforms and operational systems.
  • A proactive, solution-oriented mindset with exceptional attention to detail.

Ideal Experience

Candidates may come from backgrounds such as:

  • Healthcare Operations Coordinator
  • Practice Administrator
  • Home Health or Hospice Operations
  • Population Health Operations
  • Medical Group Operations
  • Healthcare Startup Operations
  • Project Coordinator
  • Clinical Operations Coordinator
  • Revenue Cycle or Care Management Operations
  • Business Operations

If you've successfully coordinated people, projects, and processes in a complex environment, we'd love to hear from you.

Success in This Role

Within your first year you will:

  • Become the operational expert for the PCE program.
  • Improve communication between clinicians and internal teams.
  • Increase operational efficiency and reduce delays.
  • Help improve member scheduling and visit completion rates.
  • Deliver accurate, actionable reporting to leadership.
  • Contribute ideas that improve the experience for members, clinicians, and clients.

What We're Looking For

The ideal candidate is someone who:

  • Loves solving operational problems.
  • Is highly organized and dependable.
  • Can keep multiple projects moving simultaneously.
  • Communicates confidently with clinical and business teams.
  • Uses data to identify opportunities for improvement.
  • Takes ownership without needing constant direction.
  • Builds strong relationships across departments.
  • Enjoys creating processes that make everyone more successful.

Compensation & Benefits

  • Competitive salary of $80,000-$100,000 based on experience.
  • Performance bonus opportunity.
  • Medical, dental, and vision insurance.
  • 401(k) with company match.

  • Professional development opportunities.
  • Hybrid work environment with flexibility.
