Position Summary

The Marketing Operations Coordinator provides operational, administrative, and logistical support to the Central Marketing team. This position is responsible for managing mailroom and print center operations, coordinating office and team support needs, and assisting with meetings, events, tradeshows, and other marketing activities.

The ideal candidate is highly organized, service-oriented, detail-focused, and comfortable managing multiple priorities in a fast-paced environment. This role works closely with Central Marketing team members, internal business partners, vendors, and other administrative support functions.

Primary Responsibilities

Mailroom and Print Center Operations

  • Manage daily mailroom operations, including receiving, sorting, distributing, and preparing outgoing mail and packages.
  • Coordinate shipping and delivery needs with internal teams and external carriers.
  • Manage print center workflow, supplies, equipment, and vendor relationships.
  • Coordinate the production of printed materials, including marketing collateral, meeting materials, signage, and internal communications.
  • Monitor inventory levels and order mailroom and print center supplies as needed.
  • Maintain documentation and standard operating procedures for mailroom and print center activities.
  • Identify opportunities to improve efficiency, service levels, and cost management.

Administrative and Team Support

  • Provide day-to-day administrative support to the Central Marketing team.
  • Order office, kitchen, meeting, and departmental supplies.
  • Manage designated purchasing-card transactions, documentation, and reconciliation.
  • Assist with scheduling, room reservations, catering, meeting materials, and onsite logistics.
  • Support onboarding activities for new Central Marketing employees.
  • Maintain team contact lists, distribution lists, calendars, records, and other administrative resources as needed.

Meeting and Event Coordination

  • Provide logistical support for department meetings, employee updates, lunch-and-learns, workshops, and cross-functional events.
  • Coordinate meeting rooms, catering, audiovisual needs, materials, signage, and attendee communications.
  • Support onsite event setup, execution, and cleanup.

Tradeshow and Marketing Logistics

  • Assist with tradeshow and event logistics, including hotel-room coordination, registration, shipping, supplies, materials, and documentation.
  • Maintain records of reservations, attendees, deadlines, and other logistical details.
  • Coordinate with internal stakeholders, vendors, hotels, convention centers, and shipping partners.
  • Help ensure materials and supplies arrive accurately and on schedule.

Qualifications

  • High school diploma or equivalent required; associate degree in business administration, marketing, communications, office administration, or a related area preferred.
  • Three or more years of experience in administrative support, office operations, print services, event coordination, mailroom operations, or a related role.
  • Strong organizational and time-management skills.
  • Demonstrated ability to manage multiple requests, deadlines, and stakeholders.
  • Strong attention to detail and follow-through.
  • Professional, service-oriented communication skills.
  • Ability to work independently while collaborating effectively with a broad team.
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience coordinating vendors, purchasing, invoices, shipping, or events preferred.
  • Ability to occasionally lift, move, or transport packages, printed materials, supplies, and event materials.
