THE OPPORTUNITY
Silvus Technologies is seeking an Office Administrator who will serve as the operational backbone of the Salt Lake City location supporting purchasing/vendor relationships, new hire onboarding, as well as facilities and administrative needs.
This position is responsible for supporting the day-to-day administrative operations of the Salt Lake City office while creating a professional, organized, and welcoming workplace environment. This role serves as the primary point of contact for office administration, purchasing, visitor management, facilities coordination, and general office operations. The role also partners with the Human Resources Business Partner (HRBP) for this location to support onboarding activities for new hires.
This role reports to the Salt Lake City Site Lead, with dotted line reporting to the Office Manager at LA-HQ. The position is fully onsite, Monday through Friday, at Silvus Technologies' office in Salt Lake City, Utah.

ROLE AND RESPONSIBILITIES
  • Manage the daily operations of the office to ensure a clean, organized, safe, and efficient work environment.
  • Serve as the primary point of contact for office purchasing, including ordering office supplies, food, beverages, and other operational materials.
  • Maintain inventory levels of office supplies, break room supplies, and refreshments, ensuring all common areas remain fully stocked and organized.
  • Place purchase orders, track shipments, communicate with vendors, and proactively follow up on outstanding orders or delivery issues.
  • Coordinate general site management activities and partner with vendors, facilities personnel, and internal departments to resolve office-related needs.
  • Handle front office responsibilities including answering incoming phone calls, greeting visitors, receiving deliveries, and providing general administrative support.
  • Welcome visitors, vendors, and guests while maintaining a professional reception experience and ensuring compliance with the company's visitor management and security protocols, including visitor registration, badge issuance, and sign-in/sign-out procedures. This includes coordinating visitor logistics and communication with internal hosts.
  • Assist the Human Resources Business Partner (HRBP) with new hire preparation and onboarding activities, including workstation readiness, equipment/IT coordination, and other onboarding logistics.
  • Support the planning, coordination, and execution of any training sessions or other site events as directed.
  • Ensure the office environment remains clean, professional, organized, and welcoming.
  • Assist with the coordination of any maintenance or repairs as necessary, including any Environmental Health and Safety (EHS) concerns.
  • Assist with facilities-related requests by communicating issues promptly and coordinating resolution with appropriate vendors or internal departments.
  • Support various administrative, operational, and special projects as assigned.
  • Perform other related duties of which the above are representative.

REQUIRED QUALIFICATIONS
  • High School Diploma or GED.
  • 4-5 years of office administration experience, preferably in a manufacturing environment.
  • Excellent organizational skills and ability to prioritize and take initiative.
  • Demonstrated commitment to customer service with a high emphasis on a professional and friendly attitude, attire, and professional demeanor.
  • Internet skills including use of email, group messaging, and digital data collection.
  • Effective oral and written communication skills.
  • Attention to detail, accuracy, flexibility, reliability, and teamwork.
  • Prior experience in a fast-paced office environment, meeting multiple deadlines.
  • Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
  • All employment is contingent upon the successful clearance of a background check and drug test.

PREFERRED QUALIFICATIONS
  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Previous experience supporting office operations within a manufacturing environment.
  • Highly proficient in Google Suite and MS Office (Excel, Word, PowerPoint).
  • Capability for critical thinking and problem-solving.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
  • Primarily works in an office environment.
  • Extended periods of sitting while working at a reception desk or workstation.
  • Frequent walking throughout the office and facility.
  • Ability to regularly lift, carry, and move materials weighing up to 25 pounds.
  • Frequent use of standard office equipment, including computers, printers, copiers, scanners, and telephones.
