Job description

Coho Integrated Solutions is seeking a detail-oriented Medical Records Clerk to provide administrative and medical records support within a Military Treatment Facility (MTF) at MacDill Air Force Base. This position plays a vital role in ensuring the accuracy, security, and accessibility of patient medical records while delivering exceptional customer service to patients, providers, and clinical staff.
The ideal candidate possesses experience in medical records management, healthcare administration, and electronic health record (EHR) systems, along with a strong understanding of HIPAA regulations and medical terminology.
Responsibilities (include but are not limited to):
  • Greet patients, visitors, and staff while providing professional customer service at the front desk or clinic reception area.
  • Retrieve, deliver, file, maintain, and retire medical records in accordance with established policies and regulatory guidelines.
  • Initiate, update, and maintain patient medical records to ensure accuracy and completeness.
  • Process military forms and other clinical documentation into official patient medical records.
  • Answer and direct incoming telephone calls, take messages, and route inquiries to the appropriate department or clinic.
  • Receive and electronically deliver telephone consults (T-Cons) to Primary Care Managers (PCMs) and clinic nursing staff using government systems.
  • Search for missing documentation and coordinate with clinical staff to obtain required patient records.
  • Prepare reports and maintain record statistics as requested.
  • Participate in medical records quality assurance reviews and compliance initiatives.
  • Utilize electronic health record (EHR) systems and standard office equipment to support daily medical records operations.
  • Safeguard confidential patient information and maintain compliance with HIPAA and applicable government regulations.
  • Support clinic operations through accurate documentation, organization, and administrative assistance.
Essential Job Qualifications and Requirements:
  • Citizenship
    • U.S. citizenship is required based on contract requirements
  • Education
    • A.A. degree or higher.
  • Required Certifications
    • Registered Health Information Administrator (RHIA), or
    • Registered Health Information Technician (RHIT)
  • Required Experience
    • Minimum of six (6) months of experience in medical office scheduling
    • Experience working in a medical clinic, physician's office, hospital, or other healthcare environment
    • Experience in performing medical records management, patient scheduling, and administrative support
    • Working knowledge of medical terminology
  • Preferred Skills
    • Strong organizational skills with exceptional attention to detail
    • Excellent customer service and interpersonal communication skills
    • Ability to maintain strict confidentiality of patient information
    • Proficiency using Microsoft Office and standard office equipment, including computers, printers, copiers, fax machines, and multi-line telephone systems
    • Ability to manage multiple priorities in a fast-paced healthcare environment
    • Strong written and verbal communication skills
    • Ability to work independently while collaborating effectively with providers, nurses, and administrative staff
  • Work Schedule
    • Monday through Friday
    • 7:00 AM to 4:30 PM
    • 9-hour shift with a 60-minute unpaid meal break
    • Scheduled for no more than 40 hours per week
