Arcturus Healthcare is seeking a dependable, organized, and detail-oriented Medical Records Clerk to join our team. This entry-level position is an excellent opportunity for an individual interested in beginning or building a career in healthcare administration.

The Medical Records Clerk is responsible for maintaining accurate and organized patient records, scanning and indexing medical documentation, processing medical record requests, and supporting the daily operations of the Medical Records Department. The successful candidate will be comfortable working with confidential information, have strong attention to detail, and be able to work efficiently in a fast-paced medical office environment.


Essential Duties & Responsibilities
  • Maintain, organize, and update electronic and paper medical records.
  • Scan, upload, and accurately index medical documents into the electronic medical record (EMR) system.
  • Verify that documentation is filed correctly and associated with the appropriate patient record.
  • Process medical record requests in accordance with company policies, HIPAA, and applicable privacy requirements.
  • Retrieve and distribute medical records and documentation as requested.
  • Review records for completeness, accuracy, and proper filing.
  • Identify missing, incomplete, or incorrectly filed documentation and take appropriate action.
  • Assist with filing, copying, faxing, and other administrative duties within the Medical Records Department.
  • Communicate with clinical and administrative staff regarding medical record requests and documentation needs.
  • Maintain patient confidentiality and handle protected health information (PHI) in a professional and appropriate manner.
  • Follow all HIPAA requirements and company policies related to the privacy and security of patient information.
  • Maintain an organized, clean, and efficient work area.
  • Meet department deadlines and maintain accurate work.
  • Perform other duties as assigned.

Requirements: Qualifications & Experience
  • Previous medical records, medical office, or healthcare experience preferred but not required.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Basic computer skills and the ability to learn and navigate electronic medical record systems.
  • Ability to handle confidential and sensitive information appropriately.
  • Professional written and verbal communication skills.
  • Ability to work independently while also working effectively as part of a team.
  • Ability to follow established procedures and instructions.
  • Reliable attendance and dependable work habits.
  • Willingness to learn and take on new responsibilities.
