Job description

Summary:
The Administrative Assistant will perform secretarial and clerical duties to ensure efficient and effective office operations and contribute a positive impact toward the educational services at the school.
Responsibilities:


  • Perform secretarial, clerical and administrative support duties including word processing, originate, edit, proof and transcribe correspondence, newsletters, weekly memos, update student/staff handbooks, summer mailings/orientation day planning, and sort and distribute incoming materials.
  • Maintain school roster on MCIR (Michigan Care Improvement Registry), health department reports, state reports, agendas, minutes, etc.
  • Perform various duties such as confirming transportation requirements for subsequent week, enroll new students, prepare IEPC forms and packets in preparation for meetings, conduct surveys and membership counts, conduct emergency drills, prepare Fourth Friday Student Count forms, twice yearly pupil count requirements, prepare and arrange orientation requirements.
  • Coordinate and maintain appointment calendar and schedules of meetings, conferences and other activities related to school.  Coordinate field trips with teachers and the Transportation Department.
  • Maintain Infinite Campus records, including enrolling new students, scheduling, and processing report cards/create reports using student data.  Maintain CA60 files.
  • Enter data into school systems such as SWIS, Lexia, benchmark documents, etc.
  • Handle the building budget, deposits, transfers, purchase orders, credit cards, petty cash, check requests, collect/audit timesheets and extra duty pay requests.
  • Work with the parent/teacher organization as necessary.
  • Maintain school website/calendar.
  • Student/staff accident reports.
  • Arrange for field trips bussing.
  • Troubleshoot technology and provide Infinite Campus support, parent portal liaison and other technology related duties as needed.
  • Schedule teacher absences on AESOP and maintain guest teacher folders.
  • Coordinate state testing.
  • Assist students by dispensing medication, contacting parents when necessary, caring for sick/injured children.
  • Maintain staff emergency contact information.

 Qualifications:

  • Associates degree preferred, or high school diploma with additional training or related work experience.  
  • Computer and word processing expertise is required. Knowledge of CIMS, Infinite Campus and spreadsheets preferred.
  • Ability to read and transmit detailed instructions in order to plan and perform job duties.
  • Ability to pay attention to detail, prioritize, work independently and cooperatively as well as schedule and produce work in a timely manner.  Ability to work effectively in an environment where interruptions occur constantly.
  • Broad knowledge of district organization, operations, policies and procedures.
  • High level of communication and interpersonal skills to interact effectively with students, parents, teachers, visitors and coworkers.

Schedule:
8 Hours per day
Staff Calendar plus 5 weeks
Compensation:
Level 4 - $19.07 - $22.31
Replacement Position
