Inventory Replenishment Coordinator

Our Diversifood team manages customer relationships and order fulfillment for a growing portfolio of foodservice and retail accounts across the United States.


JOB DESCRIPTION

The Inventory Replenishment Coordinator is responsible for maintaining optimal inventory levels across Diversifood's distribution network by monitoring stock positions, coordinating purchase orders, and aligning replenishment activities with sales forecasts and customer demand patterns. This role sits at the intersection of procurement, warehousing, and sales, ensuring product availability while minimizing excess inventory and waste. The ideal candidate is detail oriented, analytical, and comfortable working in a fast paced food distribution environment where accuracy and timing directly impact customer satisfaction and profitability.


KEY RESPONSIBILITIES


Inventory Monitoring and Replenishment

  • Monitor daily inventory levels across warehouse locations and 3PL partners, identifying items approaching reorder points or at risk of stockout
  • Generate and submit purchase orders to suppliers based on reorder triggers, lead times, and demand forecasts
  • Track open purchase orders from placement through receipt, following up with suppliers on delivery timelines, shortages, and discrepancies
  • Coordinate with warehouse teams to confirm receipt, resolve quantity variances, and ensure accurate inventory updates in the system


Demand Planning Support

  • Collaborate with the sales team to understand upcoming promotions, seasonal demand shifts, and new product launches that impact replenishment timing and volume
  • Analyze historical sales data and inventory turnover rates to recommend adjustments to reorder quantities and safety stock levels
  • Flag slow moving or excess inventory to management with recommended actions such as promotions, transfers, or write downs


Supplier and Vendor Coordination

  • Maintain strong working relationships with suppliers, freight carriers, and 3PL partners to ensure reliable and timely product flow
  • Communicate proactively with vendors regarding order status, lead time changes, product availability issues, and substitutions
  • Assist in evaluating supplier performance based on fill rate, on time delivery, and quality metrics


Data Management and Reporting

  • Maintain accurate inventory records in the ERP system, ensuring all transactions (receipts, adjustments, transfers) are entered promptly
  • Prepare weekly inventory status reports including stock levels, incoming orders, backorders, and days of supply by SKU
  • Track and report key performance indicators including inventory accuracy, fill rate, stockout frequency, and inventory turnover
  • Identify data discrepancies and work with the warehouse and finance teams to investigate and resolve them


Cross Functional Collaboration

  • Work closely with Customer Service to communicate product availability, expected delivery dates, and any supply disruptions that may affect customer orders
  • Coordinate with the Logistics team on inbound shipment scheduling, dock appointments, and receiving priorities
  • Support month end and year end physical inventory counts and cycle count programs
  • Escalate supply chain risks or significant variances to the Operations Manager promptly with supporting data and recommended actions


QUALIFICATIONS

  • 2 to 4 years of experience in inventory management, replenishment, purchasing, or supply chain coordination, preferably in food distribution, FMCG, or a perishable goods environment
  • Proficiency in ERP systems (SAP, NetSuite, or similar) and advanced Excel skills including pivot tables, VLOOKUP, and data analysis
  • Strong understanding of inventory management principles including reorder points, safety stock, lead time planning, and ABC analysis
  • Experience working with 3PL warehouses and coordinating inbound logistics
  • Excellent attention to detail and ability to manage multiple SKUs and supplier timelines simultaneously
  • Strong communication skills with the ability to work cross functionally across Sales, Warehouse, Finance, and Procurement
  • Knowledge of food safety and quality standards (HACCP, FDA, FSMA) as they relate to inventory handling and storage is an asset
  • Bilingual English and Spanish is an asset
  • Post secondary education in Supply Chain Management, Business Administration, Logistics, or a related field preferred
