Eligible for Monroe County Civil Service Office Clerk II
(A competitive candidate must hold a current eligible title or be reachable on the current eligible list. SECRETARY TO THE ASSISTANT SUPERINTENDENT OF INSTRUCTION
JOB DESCRIPTION
Job Summary:
Performs a wide variety of secretarial functions in the Office of Instruction. Work requires knowledge of district policy and procedures and requires judgment and initiative in order to handle effectively the wide variety of situations that arise daily.
Job Duties:
  1. Provide daily office maintenance and administrative support.
  2. Manage calendar of ASI, including scheduling a variety of district wide meetings.
  3. Maintain all home-schooling records and regular communication with home schooling families.
  4. Schedule/track observations and goal reviews.
  5. Process district-wide conference request forms (including booking of flights and hotels).
  6. Process district-wide textbook orders.
  7. Prepares purchase requisitions.
  8. Handle all COSER activity.
  9. Submit bills to BOCES for expenses and substitute costs.
  10. Monitor charge-backs
  11. Forward in-service credits due to personnel office.
  12. Enter out of district Professional Learning and in-district leadership Professional Learning into the Frontline database.
  13. Assists ASI in preparation of district-wide professional learning events.
  14. New Teacher/Mentor preparation.
  15. 3-8 Assessments - communications and supplies to secretaries, collection, organization, & transport to BOCES for scoring
  16. Create and communicate 6 day letter calendar, K-6 report card/marking period calendars.
  17. Update & send out faculty handbook annually.
  18. Organize & communicate K-6 orientation & screenings
  19. Assist in organizing application/approvals & payroll vouchers for summer curriculum work.
  20. Order and monitor staff development materials.
  21. Set up for meetings; type, copy, and collage materials.
  22. Record & process mileage reimbursement.
  23. Update and assist in monitoring monthly budget and grant reports.
  24. Type curriculum and assessment documents; bin/copy for distribution.
  25. Produce all board of Education curriculum presentation reports for ASI.
  26. Support all Office of Instruction Directors and Teachers on Special Assignment.
  27. Keep updated records on Curriculum & Instruction committee memberships, such as District Curriculum Council and DEI Coalition.
  28. Support Office of Human Resources and Business with duties as assigned.
  29. Manage student teachers/observers, manage database, connect with Principals on possible placements.
  30. Perform other duties as assigned.

Full performance knowledges, skills, abilities and personal characteristics: Good knowledge of office terminology, practices, procedures, routines and equipment; good knowledge of business arithmetic and English; good knowledge of the techniques involved in record keeping; good knowledge of the techniques involved in establishing and maintaining a filing system; skill in accurately keyboarding at 40 words per minute; ability to conduct searches for information from various sources; ability to work with forms; ability to prepare written communication, arithmetic and standard written reports; ability to operate office machines such as the electronic work station, adding machine, calculator, photo copier and facsimile machine; ability to understand and carry out complex oral and written instructions; ability to express oneself clearly; ability to readily acquire familiarity with departmental organization, functions, laws, policies and regulations; ability to deal with the public; good judgment in solving relatively complex clerical problems; initiative; resourcefulness; tact; courtesy; integrity; health commensurate with the demands of the position.
