Job description

Position Summary
The Equipment Manager is responsible for overseeing assigned company-owned, leased, and rented equipment operations to support field construction, pipeline, utility, civil, and energy infrastructure projects. This role manages equipment coordination, fleet operations, maintenance scheduling, onboarding processes, vendor communication, repair tracking, equipment allocation, and asset utilization to ensure safe, efficient, and cost-effective operations across assigned projects and locations. The Equipment Manager serves as the primary point of contact for fleet and equipment logistics while supporting operational readiness and minimizing downtime.

Key Responsibilities
Fleet & Equipment Management
• Oversee daily fleet and equipment operations for assigned company projects and field personnel.
• Coordinate equipment allocation, mobilization, demobilization, and tracking across assigned job sites and/or regions.
• Maintain accurate records of site and/or region equipment inventory, utilization, inspections, maintenance, registrations, and certifications.
• Locate, source, and coordinate equipment needs for field operations and project teams.
• Manage company fleet including trucks, trailers, heavy equipment, support vehicles, and specialty equipment.
• Monitor equipment usage, downtime, and operational performance to improve efficiency and reduce costs.
• Coordinate rental equipment needs with vendors and suppliers as required.
• Utilize telematics, GPS tracking systems, and fleet management software to monitor equipment location, performance, and usage.
• Assist with fuel usage tracking, reporting, and cost management initiatives.
Maintenance & Repair Coordination
• Coordinate preventative maintenance schedules and repair needs for assigned fleet and equipment assets.
• Communicate with vendors, mechanics, service providers, and field personnel regarding equipment issues and repair status.
• Ensure equipment inspections, repairs, and maintenance activities are completed in a timely manner.
• Track repair costs, maintenance history, warranties, and service documentation.
• Assist in troubleshooting equipment-related issues to minimize project delays and downtime.
• Ensure assigned equipment remains compliant with safety standards, DOT requirements, and operational regulations.
• Monitor preventative maintenance KPIs and support continuous fleet reliability improvements.
Onboarding & Equipment Administration
• Manage onboarding and equipment orientation processes for new employees and operators.
• Coordinate equipment assignments, issuance of tools/assets, and equipment training documentation.
• Maintain onboarding records, equipment sign-out logs, and fleet assignment tracking.
• Assist with driver qualification records, fleet documentation, and operational compliance requirements.
• Communicate equipment details, assignments, and operational expectations with field personnel and management teams.
• Support onboarding and offboarding of field personnel related to equipment issuance and fleet assignments.
Operational Coordination & Support
• Work closely with project managers, superintendents, field operations, and dispatch teams to support project equipment needs.
• Coordinate transportation and logistics for equipment deliveries, pickups, and transfers.
• Support project startup planning by ensuring equipment readiness and availability.
• Assist with equipment budgeting, forecasting, procurement recommendations, and replacement planning.
• Maintain strong communication with internal teams, vendors, subcontractors, and service providers.
• Assist in developing operational processes to improve fleet utilization and equipment efficiency.
Safety & Compliance
• Ensure assigned equipment and fleet operations comply with company policies, OSHA, DOT, FMCSA, and applicable regulatory requirements.
• Monitor and maintain records for inspections, registrations, licenses, permits, and certifications.
• Promote safe equipment operation practices and support company safety initiatives.
• Participate in audits, inspections, and incident investigations related to fleet or equipment operations.
• Ensure drivers and operators maintain required qualifications, certifications, and compliance documentation.

Qualifications
• Experience in fleet management, equipment coordination, or heavy construction operations preferred.
• Experience supporting pipeline, civil, utility, HDD, energy, oil & gas, or infrastructure projects preferred.
• Strong organizational, communication, and multitasking abilities.
• Knowledge of heavy equipment, fleet maintenance, DOT/FMCSA requirements, and equipment logistics.
• Proficient in Microsoft Office, equipment tracking systems, fleet management software, and digital reporting tools.
• Ability to work in fast-paced field and office environments while managing multiple priorities.
• Valid driver’s license required.

Compensation & Benefits
Pay range: 90-105k, based on experience
