Job description

Duties & Responsibilities:
  • Provide in-office and technical support to the Department of Engineering Services to assist in the daily maintenance of departmental records and stats.
  • Office Tasks: Greet, direct and assist all visitors, staff, and vendors, based on the reason for the visit. Maintains orderly procedures and files for all tasks.
  • Keep the office stocked with supplies and enter bills into the system for all on campus and keeps portfolio updated.
  • Mail Responsibilities: Performs secretarial duties such as, typing, filing, receiving, and responding to incoming calls, correspondence, and operating computer, printer and scanner. Picks up and sorts mail as needed.
  • Keys: Records key request onto the computer and maintains key card files. Clears keys off a report for Human Resources on terminated employees. Work orders for key requests as needed. Responsible for filing and keeping keys orderly.
  • Vehicle Operations: Records all the courier routes, pick-ups and mileage into a file from manifest sheets. Responsible for scheduling passenger vans. Ensure vehicles are fueled and cleaned as needed. Ensures up-to-date stickers and registrations on all vehicles. Keep records of maintenance of vehicles. Coordinates with insurance/ tows as needed.
  • Telephone Operations: Will be responsible for all calls to the FIXX line (#3499) and process requests appropriately. Responsible for directing all other calls where appropriate. Responsible for checking voicemail (#3460 and #1178).

Qualifications:
  • High School Diploma or GED equivalency required with knowledge of general office procedures.

Preferred Qualifications:
  • Two or more years' office experience preferred.
  • Experience with the use of computer programs i.e. Word, Excel, Hyperion, etc. preferred
