Job description

 

This role combines executive administrative support, senior paralegal support, and corporate governance coordination within the Legal department. The person in this role supports the Legal team as well as all levels of leadership while also assisting with legal document review, subpoenas and discovery, legal research, contracts, regulatory filings, governance-related materials, sensitive documentation, leadership communications, and cross-functional follow-through. The role requires strong judgment, discretion, urgency, attention to detail, and the ability to keep Legal, leadership, and governance workstreams organized and moving forward.

This role requires 100% onsite attendance in our Pontiac office.

WHAT WE NEED FROM YOU

Must Have

  • Bachelor's degree, Paralegal certificate, or equivalent relevant Legal, Compliance, corporate governance, or executive support experience.
  • At least 1 year of experience in a law firm, legal department, governance support, executive support, or similar legal-support environment creating, organizing, reviewing, or editing legal documents and leadership materials.
  • Experience performing legal research and the ability to understand, organize, and summarize legal, regulatory, governance, or compliance information.
  • Knowledge of litigation, subpoenas, discovery, contracts, and standard elements of legal documents or agreements.
  • Strong writing, editing, proofreading, communication, and document-preparation skills; experience with minutes or governance materials is a plus.
  • Excellent organization, multitasking, prioritization, follow-through, and ability to shift quickly as business needs change.
  • High sense of urgency, strong client-service mindset, and ability to support internal and external stakeholders professionally.
  • Ability to handle sensitive and confidential information with the utmost discretion and sound judgment.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, Forms, and document management tools.
  • Commitment to continuous business improvement, process efficiency, accuracy, and proactive team support.
  • On-site attendance required, including the ability to run errands out of the office when needed.

  • Corporate governance, board materials, policy acknowledgment, DocuSign, legal operations, or executive leadership support experience.

WHAT YOU WILL BE DOING

 Executive, Leadership, and Administrative Support

      • Provide direct administrative and coordination support to executive leadership, including calendar management, meeting coordination, follow-up tracking, and day-to-day prioritization. 
      • Prepare for monthly meetings, leadership meetings, governance-related discussions, conferences, leadership lunches, team activities, contests, outings, and other department events as needed.
      • Complete expense reports, coordinate direct mailings, run errands when necessary, and support general Legal department operations.
      • Serve as a liaison between executives, team members, internal departments, Board of Directors and supporting business committees, business partners, external guests, vendors, and outside counsel to keep work moving forward clearly and efficiently.
      • Answer, route, and respond to important inbound calls, requests, communications, and follow-up items with urgency, professionalism, and discretion.

Corporate Governance, Leadership Materials, and Documentation

      • Support corporate governance activities by organizing, preparing, routing, tracking, and maintaining governance-related documents, communications, approvals, signatures, acknowledgments, and leadership materials.
      • Assist with board, leadership, legal and compliance-related materials, including organizing content, preparing summaries, coordinating updates, and ensuring materials are clear, complete, and ready for executive review.
      • Coordinate signatures, acknowledgments, approvals, policy acknowledgment processes, and other governance or compliance follow-up items through completion, including DocuSign or similar processes when needed.
      • Maintain and organize documentation and records across Outlook, Teams, SharePoint, UDrive, and other internal platforms to support efficient access, consistency, and follow-through.
      • Support the flow of sensitive or confidential information with discretion, accuracy, and strong follow-through while helping maintain consistency across governance records, communications, and reference materials.
      • Create executive-ready reports, summaries, checklists, surveys, forms, and tracking documents that support leadership visibility, decision-making, and team operations. 

Legal, Paralegal, and Matter Support

    • Review, edit, organize, and respond to legal documents, including pleadings, EEOC or similar claims, contracts, judgments, leases, trust agreements, assignments, title commitments, and other legal or business documents.
    • Review, monitor, track, and help coordinate responses to subpoenas, discovery requests, complaints, and other legal correspondence.
    • Conduct legal research and analyze statutes, regulations, judicial decisions, legal articles, and other relevant informational sources.
    • Support Operations, Closing, and Post Closing when legal or contractual interpretation is needed, including matters involving trusts, divorce decrees, leases, stock compensation, title commitments, and guideline issues with legal nuances.
    • Prepare written correspondence with outside counsel, third parties, internal teams, and business partners, including responses to complaints and requests for information.
    • Assist with issues related to MERS, servicing, marketing reviews, settlement agent oversight, title claims, licensing matters, regulatory filings, and other title-related or compliance-related support needs.
    • Perform other legal functions for the team as needed.
