Job description

The Wood Automotive Group, one of Alberta's largest automobile retailers for over 40 years, is offering an exciting opportunity for a AR/AP (Accounts Receivable / Accounts Payable) Assistant to join our Wood Automotive Group team!

This is a temporary contract to cover a maternity leave of 18 months.

About the role:

Reporting to the Corporate Controller, this role is responsible for assisting in accounts receivable functions including handling daily AR inquiries, maintaining collection processes and records, preparing daily deposits, and ensuring timely follow-up on outstanding accounts (excluding Village Honda). This role also assists in accounts payable functions such as ensuring the accurate and timely handling of AP transactions.

Primary responsibilities include, but are not limited to:

  • Collaborate with the Controller to maintain collection goals and general AR performance levels
  • Communicate with external customers and internal managers as necessary to complete job duties
  • Post and reconcile customer payments to general ledgers
  • Form collection strategies to mitigate customer objections to making timely AR payments
  • Process daily service invoices and distribute them where necessary.
  • Ensure all required documentation is pertinent on repair orders/parts invoice
  • Produce and distribute AR statements monthly
  • Review credit limits and aging daily to monitor portfolio
  • Account reconciliations
  • Research account distributes and billing discrepancies
  • Assist in collections and follow procedures to maximize cash flow and reduce risk of uncollectable accounts
  • Assist in investigating new credit applications, ensuring customer compliance with established credit terms and coordinate with Controller to set up new customers
  • Post and reconcile company payments to general ledgers and complete bank deposits
  • Review bills to the company and investigate/resolve potential errors and/or billing discrepancies
  • Post AP invoices
  • Investigate payment problems while following corporate AP policies and procedures
  • Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners
  • Other duties as assigned

Qualifications:

  • General accounting knowledge or an equivalent combination of education and experience
  • Demonstrated ability to accurately calculate, post, correct, and manage accounting figures and financial records
  • Able to perform moderate account reconciliations
  • Overtime flexibility as required (example: month end)
  • Proficient in Microsoft, particularly Microsoft excel as well as accounting systems
  • Strong customer service, negotiating, and communication skills – written and verbal
  • Excellent multi-tasking, analytical, and problem-solving skills
  • Effective attention to detail and a high degree of accuracy
  • Strong work ethic and positive team attitude
