We're looking for a dependable, organized, and self-motivated Office Operations & Community Outreach Assistant to join our growing team. Position Summary
The Office Operations & Community Outreach Assistant provides administrative support to ensure the efficient operation of the office while assisting with community outreach initiatives that help grow the agency. This position requires excellent organizational skills, attention to detail, professionalism, and the ability to work independently while supporting a collaborative team.
Essential Responsibilities
Office Operations
  • Answer the agency's main telephone line professionally and courteously.
  • Welcome visitors, patients, vendors, and referral partners.
  • Check the agency mailbox daily and distribute mail appropriately.
  • Open patient chart notes according to physician orders and each patient's Plan of Care.
  • Verify that scheduled clinician visits have been completed and follow up on outstanding visit documentation as directed.
  • Prepare admission packets and administrative materials.
  • Order patient medical supplies according to physician orders.
  • Receive, inspect, organize, and maintain inventory of medical supplies and office supplies.
  • Prepare and dispense medical supplies to clinicians based on patient needs.
  • Conduct routine inventory counts and notify management when supplies need to be reordered.
  • Maintain a clean, organized, and efficient supply room.
  • Assist the Executive Director with administrative projects and daily office operations.
  • Maintain patient confidentiality and comply with HIPAA regulations.
Community Outreach
  • Deliver marketing materials to physician offices, hospitals, rehabilitation centers, assisted living facilities, skilled nursing facilities, case managers, and community organizations.
  • Build and maintain positive relationships with referral sources.
  • Represent M.D. Home Health professionally during outreach visits, networking events, and community activities.
  • Create and schedule social media content highlighting the agency's services and community involvement.
  • Assemble referral packets, brochures, and promotional materials.
  • Maintain referral databases and outreach activity records.
  • Assist with agency events and special projects.
Qualifications
  • High school diploma or equivalent required.
  • Previous administrative or customer service experience preferred.
  • Medical office or home health experience is a plus but not required.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, and Outlook).
  • Ability to learn agency software and internal processes.
  • Professional appearance and excellent customer service skills.
  • Ability to work independently, prioritize tasks, and take initiative.
Requirements
  • Valid Florida driver's license.
  • Reliable transportation with current automobile insurance.
