Job description

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Midwest Division, which provides turn-key manufactured home installation services to clients across multiple states. This position is located in Tampa, Florida, near Raymond James Stadium. No travel is required. This role involves assisting with administrative tasks, coordinating and maintaining project documentation, and ensuring smooth communication between team members, subcontractors, and clients. Schedule: Monday through Friday, 8:00 AM to 4:00 PM. This is an in-office position located in our Tampa office and is not a remote opportunity. We are looking for a self-starter who can effectively manage multiple tasks, adapt to new software and processes, and thrive in a fast-paced environment. Accounts Payable (AP) and Accounts Receivable (AR) experience is a plus, but not required.

Key Responsibilities:

  • Assist with daily administrative duties, including answering phone calls and emails.
  • Maintain construction documents, contracts, and project files.
  • Manage project software.
  • Maintain and update reports to keep teams and customers informed of deadlines.
  • Organize and manage digital and physical filing systems for project documentation.
  • Ensure compliance with company policies and construction regulations.
  • Provide support to the managing partners, senior administrator, project managers, assistant project managers and specialized field teams as needed.

Qualifications & Skills:

  • High school diploma or equivalent (associate or bachelorโ€™s degree preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and Google Sheets.
  • Proficiency in construction management software (Sage CSM) is a plus but not required
  • Strong organizational skills and attention to detail.
  • Strong Computer skills needed
  • Excellent verbal and written communication skills.
  • Ability to multitask and work in a fast-paced environment.
