Job Summary
 
We are seeking an Executive Assistant – Commercial Real Estate to join our team. As an Executive Assistant, your responsibilities will include providing high-level administrative and operational support to ownership, coordinating regulatory and compliance matters, assisting with lease documentation and tenant onboarding, supporting property marketing efforts, and ensuring consistent follow-through across multiple active projects.
 
The ideal candidate has experience in the commercial real estate industry, is highly organized, proactive, and detail-oriented, and thrives in a fast-paced environment. This role requires strong communication skills, the ability to manage multiple priorities simultaneously, and the confidence to follow up persistently until tasks are fully completed. This position offers the opportunity to grow into increased operational responsibility over time.
Responsibilities
  • Coordinate compliance matters (LADBS, LAFD, insurance inspections, Orders to Comply)
  • Prepare and assemble AIR commercial leases for review
  • Manage tenant onboarding, key release, and final walkthroughs
  • Coordinate property marketing and communicate with brokers and prospects (no negotiation)
  • Support Portfolio Manager as Executive Assistant:
    Take calls, manage calendars, track projects
  • Draft and improve professional emails
  • Complete applications and locate/share documents
  • Attend meetings, take notes, follow up until completion

  • Coordinate with architects, engineers, and contractors
  • Maintain organized records and follow-ups
  • Occasional personal errands
Requirements
  • 3+ years Executive Assistant experience
  • Excellent written and verbal communication
  • Highly organized; strong follow-up skills (not shy)
  • Advanced Microsoft Office skills
  • Real estate experience preferred (commercial a plus)
  • AppFolio knowledge a plus
  • Reliable transportation is a must
  • Bachelor’s degree preferred
