Job description

The Coding Supervisor leads the daily operations of the Coding Department, ensuring accurate, timely, and compliant pathology coding while supporting the organization's revenue cycle objectives. This role oversees coding staff, develops departmental processes, ensures regulatory compliance, and drives continuous improvement initiatives. The Coding Supervisor models the organization's mission and core values while fostering operational excellence and exceptional customer service.

Department Leadership

  • Oversee the daily operations and performance of the Coding Department.
  • Recruit, hire, train, coach, evaluate, and develop coding staff.
  • Manage scheduling, staffing, timekeeping, PTO, overtime approvals, and departmental coverage.
  • Conduct performance evaluations and address employee performance, disciplinary actions, and terminations in accordance with company policies.
  • Provide timely feedback, coaching, and recognition to promote employee engagement and accountability.

Coding & Revenue Cycle Operations

  • Perform Coding Specialist duties as needed and provide coverage during staffing shortages.
  • Ensure accurate application of CPT, ICD-10, CMS, and NCCI coding guidelines.
  • Review quarterly coding edits and annual CPT updates, communicating changes that impact pathology services.
  • Coordinate with clinical staff to ensure complete and accurate charge capture.
  • Maintain and monitor charge status reporting.
  • Support revenue cycle initiatives by collaborating with billing, collections, accounts receivable, cash application, and credentialing teams.

Compliance & Process Improvement

  • Develop, implement, and maintain coding policies, procedures, and best practices.
  • Ensure compliance with federal, state, payer, HIPAA, and organizational requirements.
  • Maintain department procedure manuals and reference materials.
  • Lead continuous improvement initiatives to enhance workflow efficiency, coding quality, and customer service.
  • Ensure the department remains inspection-ready at all times.

Financial & Administrative Responsibilities

  • Assist in developing and managing departmental budgets.
  • Support strategic revenue cycle goals and organizational initiatives.
  • Analyze operational data, identify opportunities for improvement, and communicate departmental updates to leadership.
  • Perform other duties as assigned.

Required Knowledge, Skills, & Abilities

  • Advanced knowledge of CPT, ICD-10, medical terminology, and pathology coding.
  • Strong understanding of healthcare reimbursement, coding compliance, payer regulations, and HIPAA.
  • Working knowledge of billing, accounts receivable, collections, cash application, and revenue cycle management.
  • Experience improving workflows using continuous improvement or Lean principles.
  • Excellent leadership, communication, organizational, analytical, and problem-solving skills.
  • Proficiency with Microsoft Office, including Excel, Word, and Teams.
  • Ability to prioritize multiple responsibilities and perform effectively in a fast-paced environment.

Minimum Qualifications

  • Bachelor's degree in Healthcare Administration, Business, Accounting, or a related field, or an equivalent combination of education and experience.
  • Medical Coding Certification (AAPC, AHIMA, or equivalent).
  • Pathology coding experience.
  • Three or more years of supervisory or management experience leading coding or revenue cycle teams.
  • Three or more years of medical office or healthcare revenue cycle experience.
  • Strong computer and keyboarding skills, including Microsoft Office and 10-keyproficiency.

Preferred Qualifications

  • Experience with Meditech, Epic, PowerPath, GPMS (Groupcast), or similar healthcare systems.
  • Experience with 3M coding software.
  • Active AAPC membership or advanced coding certification.
  • Additional experience in pathology coding and revenue cycle operations.

Mental/Physical Requirements: 

Daily activity is 90% sitting and 10% walking or standing. 

Work Environment: 

Work is in a well-lighted office environment 

Frequent exposure to CRT (computer monitors, repetitive motions and light lifting. (<20lbs)
