As a Rental Coordinator with MH Equipment you will coordinate material handling rental for multiple locations throughout the region.

As Rental Coordinator with MH Equipment you coordinate rental fleet for Cincinnati and assure healthy rental coordination throughout his or her district. In coordination with the ReSales and Rental Manager, meet and exceed sales and profit goals, increase sales profits and goals, and ensure that proper inventory levels are maintained. Work with the Branch Manager to monitor systems to control expenses at the branch location. Assist in achieving the company's overall Asset Utilization and ROI goals. Assure that our rental customer receives prompt and effective service from delivery to return of rental equipment.

JOB RESPONSIBILITIES:
Customer Service
  • Customer service and relationship building is key to the success and growth of our Rental Department. The expectation is that the Rental Coordinator will develop existing and foster new rental business relationships. This may include visiting existing customers or prospects. The summary of expectation is that this individual will have an attitude that the customer is of utmost importance and we do what we must do within reason to satisfy the customer's needs. This may include responding to an after-hours call once in a while.
  • Receive and respond to all rental equipment inquires for designated location(s), quoting rates, providing delivery, etc. ensuring that every call is handled with superior customer service.

Rental Administrative
  • Source rental equipment demands (external and internal customer) from existing fleet and when not available, work with ReSales and Rental Manager to source from outside vendors.
  • Create rental contracts in the system, manage rental contract pricing (discounts and proper billing rates) and ensure that rental contract information and paperwork is accurate and complete.
  • Communicate with designated branch contact the movement (delivery & return) of rental equipment.
  • Ensure that rental contracts are complete including being signed and filed appropriately upon receiving paperwork back from delivery/pickup.
  • Coordinate all incoming and outgoing rental transportation (independently or through assigned resources) and ensure that deliveries are made on time.
  • Make contact with the customer after delivery to make sure equipment is satisfactory and on time delivery was met.
  • Close out and final invoice of rental contract at end of rental.
  • Oversee the freight and re-rent expense invoices from vendors.
  • Schedule and coordinate Inter-Branch rental transfers through designated person.
  • Report any lost orders (including re-rents) through the MH Intranet.

Fleet Management
  • Communicate with the Branch / Sales Team on matters of abuse, misuse and overtime.
  • Once decisions are made assure all abuse/overtime is billed to the customer as agreed to by all stakeholders.
  • Watch over rental work orders daily and work with the Branches to:
  • Correct equipment number/customer number
  • Correct labor rates
  • Watch for re-work
  • Monitoring equipment warranties and warranty expirations and take appropriate actions in advance of warranty expiration.
  • Work with ReSales and Rental Manager on larger repair costs (over $500.00).
  • Manage PM's.
  • Utilize the Fleet App to manage PM's
  • Maintain a 90% PM completion rate
  • PM's scheduled weekly with Service Department

Other
  • Other administrative items to be determined or assigned based on workload.
  • Reconciliation of re-rent and freight supplier invoices
  • Other rental administration and support duties
  • Present a professional image in personal appearance, dress and preparation.

WORKING CONDITIONS: Employee is expected to work a basic 40-hour week Monday through Friday plus whatever time is required to accomplish goals for the position. This is a salaried position and is exempt from paid overtime.
